About the Role

Minuteman Press International — the world’s largest printing and marketing franchise, with more than 1,000 franchise locations across 5 countries — is hiring a Senior Travel Coordinator at our Farmingdale, NY corporate headquarters. This is a rare opening: the person retiring from this role has held it since 1983.

You will own the company’s travel function end-to-end — booking and managing approximately 35–75 flights per month for our staff and field team, arranging hotels and the ground transportation to and from them, and coordinating the logistics behind our signature events, including President’s Club, year-end staff meetings, our bi-annual World Expo, and franchise trade shows. Just as important, you will protect the company’s travel budget: securing the best fares, applying company-held airline points toward fares, recovering value when flights are canceled or delayed, and keeping our Regional Vice Presidents and Franchise Representatives both cost-efficient and productive on the road.

Because our travelers are on the move across multiple time zones and countries, this role includes being reachable after hours to handle disrupted flights and traveler issues as they happen. It’s a hands-on, high-trust position for someone who knows travel inside and out and takes pride in running a tight, reliable operation.


What You'll Do

  • Book and manage approximately 35–75 staff flights per month.
  • Arrange hotels and the ground transportation to and from them — rental cars, car services, and transfers.
  • Coordinate travel logistics for company meetings and events — President’s Club, year-end staff meetings, our bi-annual World Expo, and other leadership gatherings.
  • Plan and manage travel and on-site logistics for franchise trade shows.
  • Protect company spend: proactively secure competitive fares and rates, apply company-held airline points toward fares where it makes sense, and balance cost against keeping Regional Vice Presidents and Franchise Representatives productive on work trips.
  • Act as the company’s advocate with airlines and vendors — pursuing refunds, credits, and rebookings when flights are canceled, delayed, or changed.
  • Be reachable after hours to support travelers across multiple time zones when flights are disrupted or issues arise mid-trip.
  • Maintain accurate travel records, itineraries, and reporting; reconcile travel expenses and flag savings opportunities.
  • Manage relationships with airlines, hotels, car rental companies, and travel-technology vendors.
  • Serve as the single point of contact for travelers before, during, and after trips.


What you Bring

  • Travel agency background — required. You are, or have been, a travel agent or corporate travel professional.
  • Travel agent license — strongly preferred. If you don’t currently hold one, you’ll be expected to obtain it (company-paid) within your first 3–4 months.
  • Booking software fluency. Hands-on experience with a GDS or travel booking platform. We currently use Amadeus, but experience with any major system (Sabre, Apollo/Travelport, Concur, Navan, etc.) is welcome — Amadeus specifically is not required.
  • Strong negotiation and problem-solving instincts, especially under time pressure and disruption.
  • Exceptional organization and attention to detail across many simultaneous itineraries.
  • Clear, professional communication with executives, field staff, and vendors.
  • After-hours availability. Willingness to take calls outside normal business hours to resolve flight disruptions and traveler issues across multiple time zones.
  • Comfort working on-site at our Farmingdale, NY headquarters, full-time.


Nice to Have

  • Experience supporting a distributed field sales or franchise organization.
  • Event or group-travel coordination experience (conferences, incentive trips, trade shows).
  • Familiarity with travel expense reporting and budget tracking.


Compensation & Benefits

  • Salary range: $65,000 – $75,000 per year plus bonus, depending on experience and qualifications.
