We are looking for a detail-oriented, high-energy Customer Service Representative to be the face of our print shop. You aren’t just answering phones; you are the bridge between a client’s creative vision and a finished physical product. In this role, you will manage the customer experience from the initial quote to the final payment, ensuring every project is priced accurately and tracked meticulously through our POS system.
Key Responsibilities
- Consult & Coordinate: Greet walk-in customers and handle phone/email inquiries. Help clients navigate paper stocks, binding styles, and turnaround times.
- Pricing & Estimating: Utilize our custom POS & Microsoft Excel-based pricing calculators to generate accurate quotes for custom jobs. You will calculate costs based on material usage, labor, and quantity breaks to ensure profitable and competitive bidding.
- Invoicing & Billing: Generate accurate invoices for all orders. Ensure pricing reflects any design time, rush fees, or material upgrades as quoted.
- Accounts Receivable: Proactively follow up on outstanding balances and "pay-on-pickup" orders. Send professional payment reminders to ensure timely cash flow.
- Order Management & Archiving: * Accurately input jobs and maintain production logs within our Point of Sale (POS) system.
- Once a job is completed, file physical sample prints in our organized filing cabinet system to ensure easy reference for future re-orders.
- Quality Control: Review digital files for basic print-readiness and verify physical output against project specs.
- Problem Solving: Address customer concerns or billing discrepancies with empathy and a "get it right" attitude.
Qualifications & Skills
- Experience: 1–2 years in customer service, retail, or office administration.
- Technical Proficiency: * Microsoft Excel: Must be comfortable using spreadsheets to perform pricing calculations and manage data.
- POS Systems: Experience navigating Point of Sale software to log jobs and track production workflows.
- Languages: Bilingual (English/Spanish) is a plus. While not a requirement, the ability to assist our Spanish-speaking clients is highly preferred.
- Mathematical Accuracy: * Strong basic math skills for calculating dimensions, quantities, and custom price estimates.
- Must be able to accurately read a ruler in inches (including fractions like 1/8, 1/16, etc.) to verify paper sizes and trim margins.
- Organization: Exceptional organizational skills for maintaining a clean and accurate physical filing system.
- Administrative Skills: Proven experience with invoicing and payment follow-up. You should be comfortable discussing money and outstanding balances with a professional demeanor.
