The Assistant Business Manager supports the financial operations of the district by managing accounting functions, ensuring compliance with regulations, and providing accurate financial reporting. This role works collaboratively with the Business Manager to maintain strong internal controls, support budgeting processes, and oversee grant and reporting requirements.
Major Responsibilities:
Accounting & Financial Operations:
- Review and approve requisitions to ensure proper use of funds and accurate account coding.
- Create new revenue and expenditure accounts following the Chart of Accounts.
- Post general ledger and budget journal entries.
- Prepare monthly bank reconciliations.
- Provide oversight and support for accounts payable and accounts receivable, as needed.
- Maintain internal controls and ensure compliance with applicable regulations and reporting requirements.
- Ensure compliance with Massachusetts procurement laws, including MGL Chapter 30B, and district purchasing policies.
- Oversee grants including budgeting, tracking, reporting, and general ledger account assignment.
- Prepare monthly fund requests and annual reports.
- Assist with monitoring and reconciliation of revenue and receivables.
- Ensure compliance with grant requirements and submit progress reports.
- Assist with developing budgets for new grant proposals.
- Conduct weekly review of bank deposits.
- Assist in preparation and/or review of reporting, as needed, including DESE’s End of Year Report and/or DOR’s Excess and Deficiency Report.
- Assist in preparation of financial reports and presentations, as needed.
- Support preparation of annual budgets and quarterly financial reports.
- Assist with bid documentation and legal advertisements.
- Assist in preparation for annual audits and provide supporting documentation.
- Administer financial systems, including user access and system configuration.
- Provide training and support to staff on system functionality and best practices.
- Bachelor’s degree in Accounting, Finance, or related field.
- At least three (3) years of accounting experience.
- Strong proficiency in financial systems and Microsoft Office Suite (Word, Excel and PowerPoint).
- Experience in school district or municipal finance.
- Experience with municipal-based accounting software (i.e. Tyler Technologies – School ERP Pro).
- Knowledge of Massachusetts school finance and procurement laws.
- Massachusetts Certified Public Purchasing Official (MCPPO) certification or ability to obtain within a specified timeframe.
- This position includes but is not limited to: walking around the school, observing students while they work in their program areas, standing for periods, occasionally lifting and carrying items up to 50 pounds, reading documents, using a computer, listening and speaking, using office equipment, maintaining energy throughout the day, and handling stress effectively.
- Full-Time, 12 month position.
- Monday - Friday from 8:00AM - 4:00PM.
