About the role
As our Office Administrator, you will be the main contact for patients and the point person for keeping the day’s schedule and insurance flow on track. You’ll spend most of your day on the phones, in the practice software, coordinating appointments, and making sure treatment and benefits are clearly explained.
Primary responsibilities
- Phones & scheduling
- Answer incoming calls promptly and professionally; handle new patient inquiries, emergencies, and reschedules.
- Build and manage daily schedules for the doctor and hygiene in a way that balances productivity and realistic timing.
- Confirm upcoming appointments and manage cancellations/no‑shows.
- Dental insurance & claims
- Verify insurance benefits for scheduled patients, including eligibility, frequencies, and coverage details.
- Enter insurance information accurately into the practice management system.
- Prepare and submit claims, monitor outstanding claims, and follow up on denials or missing information.
- Explain estimated insurance coverage and patient portions clearly and respectfully.
- Patient check‑in/out & payments
- Greet patients, complete check‑in, and ensure forms and consents are signed.
- Collect co‑pays and patient balances at check‑out and post payments correctly.
- Help patients understand upcoming visits and any financial expectations.
- Administrative & compliance support
- Maintain HIPAA/privacy standards and handle patient information confidentially.
- Keep front desk processes organized and documented.
- Assist with other front‑office tasks as needed (scanning, filing, data entry).
Required qualifications
- 1–2 years working in a dental office front desk position (scheduling, insurance, or treatment/financial coordinator).
- Demonstrated experience with dental insurance verification and claims processing.
- Comfortable using dental practice software and payer portals; accurate and fast data entry.
- Clear, professional communication with patients and team members, including under pressure.
- Reliable, organized, and supportive of a calm, low‑drama office culture.
- High school diploma or equivalent (additional education is a plus).
Preferred
- Experience with OpenDental or similar.
- Familiarity with dental codes and terminology.
- Bilingual (including ASL or another language) is a plus but not required.
Schedule & pay
- Schedule:
- Monday–Thursday: 8:00 AM – 3:00 PM
- Friday: 8:00 AM – 1:00 PM
- Pay: $24.00 – $27.00 per hour, depending on experience and insurance/claims skills.
- We’re looking for someone who wants a stable, long‑term home and can grow with our practice for 3 years.
