Mindful Healing Works Wellness Center (MHWWC) is a multi-disciplinary mental health agency that provides therapy, medication management, and PRP. Our mission is to transform the landscape of mental health care and we do so by training the next generation of therapists (The Academy Internship Program) and creating an elevated patient experience. Each location (Rosedale, MD and Dundalk, MD) features client amenities like the Mindful Café and MindSpa.
We are seeking an experienced Client Experience Coordinator to join our growing team. This is an on-site position with in-office days rotating between our Rosedale and Dundalk offices.
Responsibilities:
- Provide exceptional support and service to clients, ensuring a welcoming, professional, and empathetic experience from initial contact through ongoing care.
- Approach all interactions with clients, families, staff, and community partners with empathy, respect, and professionalism.
- Demonstrate cultural humility, patience, and understanding in every aspect of communication and service delivery.
- Support the intake and scheduling process, maintaining accuracy and timeliness in data entry and documentation within the Practice’s electronic health record (EHR) system.
- Communicate promptly and clearly with clinicians, supervisors, and administrative staff to ensure smooth coordination of client care.
- Uphold client confidentiality and adhere to HIPAA and all relevant privacy and compliance regulations.
- Participate in staff meetings, team development sessions, and required trainings to promote personal and professional growth and alignment with the Practice’s mission.
- Take initiative to identify and resolve client concerns or scheduling conflicts in a timely and solution-focused manner.
- Contribute to maintaining a clean, organized, and professional office environment that reflects the values and image of Mindful Healing Works Wellness Center.
- Represent MHWWC and its affiliates in a positive, compassionate, and professional manner in all client, community, and professional interactions.
- Other administrative tasks, as assigned.
Key Qualifications:
- Bachelor's Degree preferred
- 1-3 years of experience in a health care environment (mental health preferred)
- Familiarity with insurance, health care billing, electronic medical record system, Salesforce, Microsoft Office, Google Workspace
- Critical thinking skills
- Positive and client-forward attitude
- Strong organizational, time management, and prioritization skills
- Ability to multi-task in a fast paced environment
- Familiarity with HIPAA compliance and patient confidentiality
- Strong customer service skills
Compensation & Benefits:
- Salary position starting at $22 per hour
