What are the responsibilities and job description for the Medical Office Coordinator/Administrative Team Lead position at Mind Mechanix LLC?
Mind Mechanix is a small, growing mental health practice looking for a capable, personable, and resourceful Medical Office Coordinator/Administrative Team Lead to become a key part of our team.
This is more than a front-desk position. We need someone who can help keep the administrative side of the practice organized, support our clients and clinical team, coordinate priorities, and make sure things get done.
We are looking for someone who takes initiative, solves problems, follows through, and becomes increasingly independent as they learn the practice. You don't need to know everything on day one. You do need to be comfortable learning new things, figuring things out, asking good questions, and using sound judgment.
The Role
You will work closely with our Owner/Clinical Director while helping lead the day-to-day administrative functioning of the practice.
The position combines medical office coordination, client communication and scheduling, administrative team support, organization, problem-solving, and assistance with practice operations and projects.
Because we are a small practice, there is variety. We want someone who enjoys being an important part of a team and taking ownership rather than simply waiting for the next assigned task.
Who We're Looking For
The right person will be:
- Organized, dependable, and professional
- Personable and comfortable working with clients and professionals
- Resourceful and able to solve problems
- Proactive and capable of working independently
- Able to prioritize and manage competing responsibilities
- A strong communicator with excellent follow-through
- Comfortable learning new systems and responsibilities
- Able to appropriately handle confidential and sensitive information
- Comfortable coordinating and supporting other administrative staff
Prior professional administrative, medical office, office coordination/management, executive assistant, or comparable experience is required.
Healthcare or mental health administration, team leadership, billing, insurance credentialing, payroll/bookkeeping support, or executive assistance experience is particularly valuable.
Growth
We want someone who can grow with Mind Mechanix. As you master the core position, there are opportunities to take greater ownership of areas such as credentialing, billing coordination, payroll support, onboarding, workflow development, and broader practice operations.
Greater capability and responsibility can lead to greater compensation and opportunity within the practice.
