Responsibilities
- Oversee and coordinate daily front office operations, ensuring a professional, organized, and welcoming environment for clients and staff
- Serve as the primary point of contact for clients, managing phone calls, inquiries, and front desk communications
- Schedule and coordinate client appointments while maintaining accurate provider calendars
- Manage patient intake and onboarding, including completion and organization of required documentation
- Conduct insurance verification and benefits checks prior to appointments
- Oversee accounts receivable, including invoicing, payment processing, and follow-up on outstanding balances
- Manage accounts payable and coordinate payment of office expenses and vendor invoices
- Assist with payroll processing and administrative support for clinical and administrative staff
- Maintain accurate records and confidential client information in compliance with privacy regulations
- Support clinicians and leadership with administrative coordination and office management tasks to ensure smooth daily operations
Qualifications
- Previous experience in office administration, front desk coordination, or office management
- Experience in a medical, behavioral health, or healthcare office preferred
- Strong organizational and multitasking skills with attention to detail
- Excellent communication and customer service skills in person and over the phone
- Ability to handle confidential information with professionalism and discretion
- Familiarity with insurance verification, billing processes, or medical office procedures preferred
- Experience with scheduling systems, electronic health records (EHR), or practice management software is a plus
- Basic knowledge of accounts receivable, accounts payable, or payroll support preferred
- Proficiency with Microsoft Office, email, and general office technology
- Reliable, professional, and able to work independently in a fast-paced office environment
