The Service Appointment Coordinator is responsible for handling inbound service calls, scheduling repair and maintenance appointments, managing the service appointment calendar, and ensuring customers receive a smooth and professional experience from the moment they contact the dealership.
Key Responsibilities
- Answer incoming calls and online inquiries related to service scheduling.
- Schedule appointments efficiently based on technician availability and shop capacity.
- Confirm and update customer information in the CRM/DMS (e.g., CDK, Eleads)
- Provide accurate information about recommended maintenance, recall notices, and service processes.
- Make outbound calls for appointment reminders, follow-ups, and declined service opportunities.
- Maintain a high level of professionalism and customer care.
- Coordinate with service advisors, technicians, and parts staff as needed.
- Help manage service drive flow by monitoring appointment volume.
- Document all customer interactions accurately and thoroughly.
Required:
- High school diploma or equivalent
- Experience in customer service, call center, hospitality, or automotive environment
- Strong communication and phone etiquette skills
- Ability to multitask in a fast-paced environment
- Computer proficiency and comfort with scheduling systems
- Previous dealership or automotive service experience
- Familiarity with Toyota products, services, and maintenance schedules
- Knowledge of CRM/DMS platforms (e.g., CDK, Eleads)
