Position Summary:

The Executive Assistant provides high-level administrative, operational, and strategic support to the President. This position manages executive priorities, coordinates key initiatives, facilitates communication across the organization, and supports the successful execution of business objectives.

 

The Executive Assistant serves as a trusted partner to the President by managing schedules, communications, meetings, projects, and company initiatives while maintaining the highest level of professionalism, discretion, and confidentiality.

 

Essential Duties and Responsibilities:

  • Demonstrate and promote MillerWorks' Core Values of Positive Attitude, Hard Work, Dependability, and Integrity in all interactions and work performed.
  • Serve as a trusted business partner to the President, providing high-level administrative, operational, and strategic support.
  • Manage the President's calendar, email communications, travel arrangements, and daily priorities, proactively coordinating schedules, resolving conflicts, organizing information, and ensuring executive focus remains aligned with business objectives.

·       Coordinate leadership and company meetings, including agenda preparation, meeting materials, minutes, action item tracking, and follow-up to support effective decision-making and execution.

  • Track organizational goals, strategic initiatives, key projects, and leadership action items, providing regular updates regarding progress, deadlines, and outstanding matters.
  • Prepare, review, and distribute reports, presentations, correspondence, executive communications, and other business documents on behalf of the President.
  • Compile, analyze, and organize operational, financial, workforce, and project-related information to support executive decision-making and maintain executive dashboards, performance metrics, leadership reports, and other management tools.
  • Serve as a liaison between the President and employees, customers, vendors, business partners, community stakeholders, and other external contacts, ensuring professional and effective communication.
  • Coordinate special projects and cross-functional initiatives involving operations, accounting, human resources, safety, business development, and other organizational priorities.
  • Manage confidential and highly sensitive business, financial, personnel, and organizational information with the highest level of discretion and professionalism.
  • Coordinate company communications, employee engagement activities, marketing initiatives, social media content, company events, customer-facing materials, and branding efforts to support organizational objectives.
  • Identify opportunities to improve business processes, communication, efficiency, and organizational effectiveness and recommend solutions to executive leadership.

·       Attend designated meetings on behalf of the President to gather information, support communication, and coordinate follow-up on key initiatives and action items.

  • Perform other related duties as assigned.

 

 

 

 

Knowledge, Skills and Abilities:

 

  • Knowledge of executive administrative practices, business operations, project coordination, and office management principles.
  • Knowledge of business communication methods and professional correspondence standards.
  • Skill in managing multiple priorities, deadlines, projects, and executive schedules in a fast-paced environment.
  • Skill in preparing reports, presentations, business communications, and other professional documents with a high degree of accuracy and professionalism.
  • Skill in utilizing Microsoft Office applications and business software to analyze information, organize data, and support executive decision-making.
  • Ability to exercise sound judgment, maintain confidentiality, and handle sensitive business, financial, and personnel information with discretion.
  • Ability to communicate effectively and professionally with executives, employees, customers, vendors, and business partners at all levels.
  • Ability to coordinate cross-functional projects, track action items, and ensure timely completion of organizational initiatives.
  • Ability to identify problems, recommend solutions, and independently prioritize work to support organizational goals and executive objectives.

 

Required Qualifications:

  • High school diploma or equivalent required.

·       Minimum five (5) years of administrative, clerical, customer service, accounting support, or related office experience.

·       Proficient in Microsoft Office, including Outlook, Word, Excel, PowerPoint and Teams.

·       Positive, customer-focused attitude aligned with company values.

 

Preferred Qualifications:

·       Associate’s or Bachelor’s degree in business administration, management, communications, marketing or another related field.

·       Experience in the construction, mechanical contracting, service manufacturing or trade industries.

·       Experience supporting a service, construction or trade-based business.

·       Experience supporting accounting, payroll, bookkeeping, or other financial administrative functions.
