Job Description of Administrative Assistant
Terms of Employment:
- This position is typically 32 ½ hours a week with benefits.
General Functions:
- Supports Authority operations by maintaining office systems.
Responsibilities and Duties:
- Handle incoming calls, mail and window inquiries
- Arranging/confirming appointments for service calls
- Attention to detail and ability to maintain confidentiality
- Monitor office inventory, purchase supplies and equipment as needed
- Pay supplier invoices in a timely manner
- Issue invoices to customers
- Ensure that receivables are collected promptly
- Record cash receipts and make bank deposits
- Conduct monthly bank account reconciliations
- Maintain a petty cash fund
- Issue financial statements
- Assemble information for external auditors for the annual audit
- Maintain an orderly accounting filing system
- Comply with local, state and federal government reporting requirements
- Process payroll in a timely manner
- Provide clerical and administrative support to the Manager as requested
- Interact professionally with citizens, outside agencies, and co-workers concerning questions, complaints, procedures, and standards
- Any duties assigned by Office Administrator and/or Manager
Special Qualifications:
- Knowledge of bookkeeping and generally accepted accounting principles
- Have a thorough knowledge of Microsoft Office
- Have excellent computer skills and be familiar with QuickBooks
- Be able to work independently
Pay: From $25.00 per hour
