The Office Assistant is responsible for administrative support to ensure smooth office operations, handling tasks such as data entry, scheduling, managing correspondence, and maintaining office supplies.
Responsibilities
- Provide onsite front desk coverage to ensure visitors are granted entry into the building and directed to the appropriate location as needed.
- Provide general office support; order supplies, send out mail, meet vendors and coordinate with other departments as needed
- Receive, sort, and deliver daily mail, packages, and interdepartmental memos to the correct recipients.
- Prepare outgoing mail by weighing, calculating postage, and affixing appropriate stamps for couriers like USPS, FedEx, or UPS.
- Utilize scanning technology to track incoming and outgoing certified or high-priority packages.
- Order and maintain adequate supplies of envelopes, labels, and postage.
- Maintain accurate logs of delivered, sent, and returned mail.
- Perform other related duties as assigned.
- High school diploma or equivalent.
- Strong organizational and time-management skills.
- Basic computer skills (MS Office, scanning software).
- Ability to lift, carry, and maneuver packages (may be up to 50 lbs).
- Attention to detail for sorting and addressing.
- Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker must have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Ability to lift to 15 lbs. independently not to exceed 50 lbs. without help.
