We are seeking a highly organized and detail-oriented Office Administrator/Bookkeeper to join our team. This role is vital in ensuring smooth office operations, managing customer profiles and billing, and supporting various administrative functions. The ideal candidate will possess strong communication skills, excellent organizational abilities, and experience in office management, bookkeeping using QuickBooks Online. Duties
- Manage daily office operations, including front desk responsibilities and multi-line phone systems including customer inquiries.
- Handle bookkeeping tasks using QuickBooks Online, including management of customer profile and invoicing and monitoring accounts receivable.
- Assist with vendor management by coordinating orders, payments, and maintaining supplier relationships
- Ensure daily work packages are organized and ready.
- Maintain organized filing systems—both digital and physical—and ensure confidentiality of sensitive information
- Manage office and staff supplies inventory and oversee procurement processes
- Ensure excellent communication with customers, vendors, and internal teams through professional phone etiquette and clear correspondence
- Provide priority support as assigned by owner and management.
Qualifications
- Proven experience in office management, administrative support, or clerical roles within a professional environment
- Strong proficiency in QuickBooks Online with a minimum of 3 years experience and familiarity with bookkeeping principles
- Experience with schedule management and calendar coordination
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
- Exceptional communication skills—both verbal and written—and professional phone etiquette
- Ability to handle sensitive information discreetly and maintain confidentiality
