Summary:
The Service Writer serves as the primary point of contact between customers and the service department. This role is responsible for accurately documenting customer concerns, coordinating repair orders, and ensuring a smooth, professional service experience for powersports customers.
Essential Responsibilities:
Serve as the first point of contact and build strong relationships with customers to drive repeat business
Actively identify and recommend additional services, maintenance, and accessories to maximize each repair order
Present service estimates in a clear, confident, and persuasive manner
Convert customer inquiries into approved repair work and upsell opportunities
Track and achieve individual and department sales goals (labor hours, parts sales, and service packages)
Follow up with customers to secure approvals, promote future services, and encourage return visits
Partner with technicians to uncover additional repair or upgrade opportunities
Promote seasonal service packages, extended warranties, and preventative maintenance plans
Maintain detailed and accurate repair orders while ensuring quick turnaround times
Deliver a high-energy, professional experience that reflects the dealership’s brand
Ensuring the process flow and prioritization of the repair orders
Informing customers of changes in service or when their machine is ready for pickup utilizing texts, emails and phone calls
Answering Customer questions about service outcomes and consulting with technicians when necessary
Overseeing and managing the service center’s scheduling and workflow
Ensuring customers pickup within a timely manner and/or communicating costs for storage
Establishing customer relationships giving them confidence and ensuring they are lifelong customers
Submitting Warranty Claims for parts and machines through the different vendors
Supporting service with machine location and preparation
Ensuring parts are available for technicians
Ensuring a clean and organized work place (desks, counters, warehouse, displays)
Process confirmations on completed work to ensure quality
Maintaining an open mind with dynamic work scope
Qualifications:
Proven experience in sales, upselling, or commission-based roles (powersports, automotive, or retail preferred)
Strong closing skills and confidence discussing pricing and value
Customer-first mindset with the ability to overcome objections
Basic mechanical knowledge (or willingness to learn quickly)
Highly motivated, goal-oriented, and competitive attitude
Strong communication, organization, and multitasking skills
Preferred Skills:
Experience with dealership service software and CRM tools
Background in powersports, automotive service advising, or parts sales
Familiarity with major powersports brands and products
Performance Expectations:
Meet or exceed monthly service sales targets
Increase average repair order (ARO) value
Maintain high customer satisfaction and retention rates
Contribute to overall department profitability
Compensation & Benefits:
Base pay plus commission or performance-based bonuses
Incentives tied to service sales, labor hours, and customer retention
Employee discounts on vehicles, parts, and accessories
Pay: $20.00 - $25.00 per hour
