Role Summary:
The Accounting Assistant supports the daily financial operations of the organization while providing essential administrative support to the HR team. This role is ideal for someone who is detail-oriented, organized, and comfortable working with numbers and documentation. The Accounting Assistant ensures accuracy in financial processes and helps maintain smooth HR workflows across multiple companies.
Key Responsibilities:
Accounting Support
- Process vendor invoices, match packing slips, and route items for approval.
- Assist with accounts payable and accounts receivable tasks.
- Prepare payment batches and support weekly check runs.
- Maintain customer credit limit documentation and assist with credit application processing.
- Reconcile receipts, statements, and basic general ledger entries.
- Support month-end close tasks such as gathering documentation and preparing reconciliations.
- Maintain organized digital and physical financial filing systems.
- Assist with reporting and data entry in accounting software.
HR Support
- Assist with onboarding tasks including preparing new hire packets, collecting documentation, and scheduling orientations.
- Maintain employee files and ensure all required documents are complete and up to date.
- Support timekeeping processes by reviewing timesheets and following up with supervisors.
- Help coordinate employee events, training sessions, and recognition activities.
- Assist with benefits administration tasks such as distributing forms or updating employee information.
- Support compliance efforts by tracking certifications, acknowledgments, and required documentation.
Qualifications:
- 1–3 years of accounting or administrative experience; HR support experience is a plus.
- Strong attention to detail and accuracy in data entry and documentation.
- Proficiency with Microsoft Office; experience with accounting or HRIS systems preferred.
- Ability to handle confidential information with professionalism and discretion.
- Strong communication and interpersonal skills.
- Ability to manage multiple priorities in a fast-paced, multi-company environment.
