What are the responsibilities and job description for the Payroll Specialist position at Middleton-Cross Plains Area School District?
This position has primary responsibility to prepare the District payroll and all related reporting requirements related to the payroll functions.
Essential Job Functions:
1. Payroll Processing – Receives timesheets, reviews for accuracy and completeness, enters time data into payroll system, and processes District payroll. Analyzes payroll reports and checks for accuracy, prints, and prepares checks/deposits for distribution. Prepares reports for administration and files reports.
2. System Maintenance – Enters new employees and maintains all payroll related deductions and information within the system. Alters system configurations as needed due to changes in employee group handbooks.
3. Vendor Interactions – Respond to inquiries and process paperwork for outside vendors including, but not limited to, Unemployment and Wisconsin Retirement System (WRS). Performs audits of deduction information and verifies balances on a regular basis with appropriate vendors (ie: TSA third party administrator and WRS).
4. Communications – Answers employee questions, verifies employment for staff with banks and outside agencies, prepares written reports and data as requested.
5. Annual reporting - Prepares W-2’s and other annual reports required by the District, state, and federal government. Reconciles W-2's and WRS to monthly submissions.
6. Fiscal and budget analysis - Performs analysis and verification of payroll influenced budget areas as needed and assigned.
Qualifications:
1. Education: Equivalent of Associate degree.
2. Experience: Minimum of three years of prior payroll experience, preferably in a school setting.
3. Special Requirements: Strong knowledge of payroll database management systems, basic accounting functions and Microsoft Office Suite.
