Position Summary
The position supports the daily financial and administrative operations of both organizations. The person filling the position will be responsible for maintaining accurate financial records, supporting board operations, and helping ensure the organization runs efficiently, professionally, and in alignment with its mission. The ideal candidate will be detail-oriented, highly organized, and trustworthy with confidential information. The applicant should be comfortable working in a small environment, and personable and comfortable interacting virtually and in-person with organization members.
Key Responsibilities
- Managing daily financial transactions, including deposits, payments, reimbursements, and expenses.
- Managing accounts payable and receivable, including vendor invoices, bill payments and member receipts.
- Prepare bank deposits and complete monthly bank and credit card reconciliations.
- Coordinate with payroll provider on all payroll and related filings.
- Maintain accurate records in QuickBooks.
- Prepare monthly financial reports for the Executive Director and Board of Trustees.
- Assist with annual budget preparation, audit support, tax filings, and year-end financial reporting.
- Help oversee daily office operations and maintain files, records, and supplies.
- Provide administrative support to the Executive Director, Board of Trustees and members of the organization as needed.
- Prepare correspondence, reports, meeting materials, agendas, minutes, and other documents as needed.
- Coordinate onboarding paperwork, employee records, benefits administration, and other basic human resources tasks.
Qualifications
- Prior bookkeeping, accounting, or administrative experience required; Experience with non-profit financial reporting preferred.
- Proficiency with QuickBooks, a must.
- Strong working knowledge of Microsoft Office, especially Excel, Word, and Outlook.
- Ability to manage multiple priorities, meet deadlines, and maintain a high level of accuracy.
- Excellent organizational, communication, and interpersonal skills.
- Understanding of confidentiality, discretion, and professional ethics.
- High school diploma or equivalent required; associate or bachelor’s degree in accounting, business administration, nonprofit management, or a related field preferred.
- Knowledge of bookkeeping principles combined with technical proficiency in financial software tools
- Ability to multitask efficiently while managing time effectively in a busy environment
Pay: $30.00 - $35.00 per hour
