Objectives of this Role:
The role of a Centralized Scheduler in a behavioral health outpatient clinic is vital for ensuring the efficient operation of the facility by managing appointment scheduling, patient communication, and coordination among healthcare providers. This position requires a detail-oriented individual with excellent organizational skills and a compassionate approach to patient interactions.
Key Responsibilities:
Manage and coordinate appointment schedules for multiple clinicians and therapists, ensuring optimal utilization of resources and minimal patient wait times. Respond to patient inquiries via phone, email, or online portals, providing information about appointment availability, clinic policies, and pre-appointment preparations. Maintain accurate and up-to-date scheduling records within the clinic's electronic health record (EHR) system, ensuring compliance with privacy regulations such as HIPAA. Coordinate with clinical staff to accommodate urgent or emergency appointments, adjusting schedules as necessary. Send appointment reminders to patients through automated systems or direct communication to reduce no-shows and improve attendance rates. Assist in the onboarding process for new patients, including collecting necessary documentation and verifying insurance information. Collaborate with billing and administrative departments to ensure smooth patient flow and accurate record-keeping. Monitor and report on scheduling metrics, such as appointment volume, cancellations, and no-shows, to support operational improvements.
Qualifications: High school diploma/GED and two (2) years of experience communicating information in a customer service setting or one (1) year of experience at the lower level Customer Svc Rep 1 (GST120) or position equivalent.
Preferred Qualifications: Certification in healthcare administration is a plus. Proven experience in scheduling within a healthcare or behavioral health setting. Strong knowledge of EHR systems and scheduling software. Excellent communication and interpersonal skills, demonstrating empathy and professionalism. Ability to multitask and prioritize in a fast-paced environment. Understanding of confidentiality and privacy regulations related to healthcare information. Experience working with behavioral health populations. Familiarity with insurance verification and billing processes. Problem-solving skills and adaptability to changing schedules and priorities.
