What are the responsibilities and job description for the Administrative Assistant position at Mid State Paving and Excavating, LLC?
The Administrative Assistant will be handling incoming phone calls and other communications, greeting clients and visitors, as well as managing files, processing payroll, accounts payable and accounts receivable with our software, and performing other general office clerk duties and errands. Pay based on experience.
Job Duties:
- Direct walk-in customers or vendors in a pleasant and respectful manner.
- Manage incoming calls and direct them to the appropriate personnel.
- Maintain organized filing systems for both physical and digital documents.
- Process payroll, accounts payable, and accounts receivable.
- Create and maintain payroll spreadsheets.
- Handle customer inquiries and provide customer service.
- Perform clerical duties such as data entry, document preparation, and correspondence management.
- Manage material/counter sales.
- Help organize and maintain office common areas.
- Assist with new hire onboarding, completing new hire paperwork with employees.
- Prepare and submit bids.
Qualifications:
- Experience as a receptionist or in an administrative role is preferred.
- Experience with Microsoft Excel and Word.
- Experience with Outlook.
- Strong organizational skills with the ability to multitask effectively.
- Ability to operate phone systems efficiently.
- Detail oriented.
