Responsibilities
Answer incoming phone calls and route to the appropriate person or department
- Schedule patient appointments and maintain an organized daily/weekly calendar
- Assist the C.Ped with patient intake, paperwork, and administrative needs
- Verify insurance eligibility and benefits, including Medicare, Medicaid, VA, and commercial plans
- Accurately determine patient financial responsibility based on coverage and plan requirements
- Understand, interpret, and process insurance EOBs, including posting payments and identifying discrepancies
Submit referrals, authorizations, and required documentation when applicable - Maintain organized patient files, referrals, CMNs, SWOs, and supporting medical documentation
- Communicate professionally with providers’ offices to obtain required clinical notes and documentation
- Prepare and send emails, memos, letters, and other correspondence
Maintain and update office procedures, workflows, and compliance documents
- Support general front-office tasks, including filing, scanning, and maintaining a clean and efficient work environment
High school diploma/GED required; Associate’s degree or administrative training preferred
- Previous experience as an Administrative Assistant or in a medical/insurance-related role
- Experience with medical insurance verification, EOB interpretation, or billing preferred
- Familiarity with Medicare/Medicaid, VA, and commercial insurance a plus
- Strong computer skills, including Microsoft Word, Outlook, and PowerPoint
- Highly organized with strong time-management abilities and the capacity to prioritize multiple tasks
- Excellent verbal and written communication skills
- Friendly, professional demeanor with a willingness to learn and support the team
