Position Summary
The Equipment Rental Coordinator is responsible for the daily operations of the rental department, ensuring efficient scheduling, tracking, and delivery of rental equipment to customers. This role serves as the main point of contact between customers, drivers, and service technicians, coordinating all rental activities from order placement to equipment return.
Key Responsibilities
- Respond to customer inquiries regarding equipment availability, pricing, and rental terms.
- Prepare rental quotes, process rental agreements, and handle billing inquiries.
- Gather credit and customer company information needed for contracts and credit checks.
- Maintain strong relationships with customers through clear communication and timely service.
- Handle logistics of rented equipment ie. schedule equipment deliveries, pickups, and returns.
- Coordinate with drivers, dispatchers, and service technicians to ensure equipment is delivered on time and in proper working condition.
- Track equipment location, usage, and status through rental management software.
- Monitor equipment inventory levels and availability.
- Ensure returned equipment is inspected, serviced, and ready for the next rental.
- Maintain accurate rental records and documentation in company systems.
- Process rental orders, invoices, and purchase orders as needed.
- Work closely with parts, and service teams as required
Compliance & Safety
- Ensure all rental agreements, inspections, and transportation comply with company policies and safety standards.
- Support compliance with DOT, OSHA, and other applicable regulations.
Qualifications
- Minimum 2 years Rental Coordinator in an equipment dealership, rental company or related is required.
- High school diploma or equivalent
- 2 years of experience in equipment rental, logistics, construction, or a related field.
- Strong organizational and multitasking skills.
- Exceptional communication and customer service abilities.
- Strong phone etiquette.
- Computer proficiency
- Working knowledge of construction or industrial equipment required.
- Self-starter and able to work independently and efficiently.
Physical Requirements
- Ability to sit, stand, and use a computer for extended periods.
- Occasional lifting (up to 50 lbs) when assisting with equipment.
- On site ( no remote available) frequent coordination with customers, yard, and field teams.
- Standard work hours, with occasional overtime during peak demand.
