Essential Duties and Responsibilities

The essential functions of this job include, but are not limited to:

 

ACTIVE SUPERVISION AND CHILD SAFETY

1.      Ensures full implementation of Active Supervision practices across all classrooms and program areas in alignment with Head Start Program Performance Standards.

2.      Establishes and maintains a site-wide culture where child safety is the highest priority.

3.      Train, coach, and support staff in the six strategies of active supervision (setting up the environment, positioning staff, scanning and counting, listening, anticipating children’s behavior, and engaging and redirecting).

4.      Responds immediately to safety incidents, ensuring proper documentation, communication, and follow-up.

5.      Collaborates with Central Office to ensure alignment, reporting, and continuous improvement in safety practices.

6.      Reports all suspected child abuse and neglect as a mandatory reporter.

7.      Takes ownership of site implementation and aligns decisions with organizational direction (acts as a bridge between Central Office and the site).

8.      Maintains consistent and reliable attendance and ensures continuity when absent (clear plans, delegation, communication).

9.      Models a strong culture of safety, professionalism, and organizational standards.

10. Effectively manages the site without needing to regularly step into a substitute role.

11. Provides clear expectations so staff know what to expect and creates consistency in expectations and follow-through.

12. Demonstrates commitment to the organization’s mission and values and keeps the team focused on purpose and impact.

13. Complies with all MCCC policies, procedures, State and Federal requirements.

 

 

 

FAMILY & COMMUNITY PARTNERSHIP

14. Positions the program as supporting school readiness, not just childcare. Builds strong, respectful partnerships with parents (recognizing them as primary caregivers).

15. Demonstrates shared ownership and investment in community relationships.

16. Engages as a community partner and represents the organization positively.

17. Promotes family engagement in all aspects of the program, including, but not limited to, Policy Council, Parent Committee, volunteer opportunities, and family engagement events.

18. Establishes and maintains positive relationships with children, families, and staff.

 

COMMUNICATION & ORGANIZATIONAL ALIGNMENT

19. Communicates expectations, updates, and changes clearly and consistently.

20. Communicates professionally and with confidentiality to families, staff, volunteers, visitors, and community partners.

 

STAFF CULTURE, LEADERSHIP AND DEVELOPMENT

  1. Builds culture of accountability, engagement, and strong work ethics. Is approachable and available for coaching, reflection, and feedback. Leads by example in professionalism and creates consistency in expectations and follow-through.

22. Supervises staff, volunteers, visitors. Monitors and supports staff with their priorities, time management/schedules, and completion of all agency requirements. Clearly communicates information, expectations, and instructions to staff and volunteers.

23. Coordinates staffing, ensuring that all classrooms stay in ratio, staff get their required breaks, and all necessary tasks are completed. Acts as an effective member of the team by providing coverage and assistance as needed.

24. Counsels staff, when necessary, in order to improve performance or behaviors. Administers disciplinary action and Performance Improvement Plans to direct reports as needed, in coordination with HR, and in accordance with MCCC policies and procedures.

25. Completes employee Performance Evaluations. Collaborates with staff to create goals. Monitors staff progress toward goals, offering resources and assistance when necessary to promote their success.

26. Participates in all required trainings. Regularly and consistently submits training certificates to the state’s workforce registry to ensure all annual training requirements are met.

 

OPERATIONS

27. Ensures the completion and accuracy of documents received from staff. Completes other paperwork, such as Active Supervision Monitoring forms, In-Kind forms, and coding forms. Meets expectations by submitting 85-95% of work on time and within acceptable standards.

28. Completes, monitors, and maintains required records.

29. Ensures sitewide compliance with all state and federal laws and regulations, as well as MCCC’s policies and procedures.

30. Documents staff performance, grievances, policy violations, and other pertinent information, conversations, and observations.

31. Reviews employee time sheets to ensure they are filled out accurately and in real time; approves all time sheets on time.

32. Facilitates staff meetings. Participates in other meetings, such as parent meetings and meetings with other managers.

33. Addresses and resolves complaints, concerns, and conflicts collaboratively, constructively, and professionally. Mediates potential disputes between staff, volunteers, and families.

34. Adheres to the principles of Active Supervision. Participates in the creation and implementation of emergency plans, such as Evacuation Plans and Lockdown Plans. Reviews and updates Emergency Plans annually and as needed. Monitors staff adherence to safety plans, including Emergency Preparedness Plans and Active Supervision Plans. Conducts monthly unannounced Active Supervision Monitoring visits for each classroom in the center.

35. Schedules interviews with job applicants for site positions, including all members of the appropriate interviewing committee, as described in MCCC’s Recruitment & Employment Practices Procedure. Interviews job applicants with the interviewing committee. Collaborates with the interviewing committee to determine recommendation for final selection. Communicates with HR throughout the interviewing process.

36. Participates in recruitment efforts.

37. Communicates facility issues to the appropriate personnel.

 

FISCAL

38. Orders and maintains center supplies.

39. Completes monthly financial reports, submitting them to the fiscal department within the appropriate time frame.

40. Ensures inventory of center supplies is conducted annually and submitted to the Central Office accounting department by the assigned due date.
