Full-time front desk position available in a busy neurology office. Hours: 9-5 pm. Candidates must possess excellent phone/computer skills, compassion, professionalism, initiative, time management, communication proficiency, and strong work ethics. At least 1 year of experience in a medical office is preferred. Fluent in Spanish preferred, but not a requirement. Serious applicants only!

SPECIFIC RESPONSIBILITIES

  • Welcomes and greets patients/clients/visitors to the office in a friendly and helpful manner; determines purpose of visit and directs patients/clients/visitors accordingly.
  • Assist patients in completing all necessary forms and documentation, including medical insurance.
  • Answers the phone in a polite, consistent manner using proper telephone etiquette (Heavy call volume). Receive and convey messages in writing, verbally, and electronically, and transfer calls as needed.
  • Schedules patients’ appointments, including careful documentation of visit purpose, address, registration forms and updates, insurance and referral forms and information, as well as informs patient of information that must be presented at time of visit.
  • Schedule hospital admissions, tests, scans, and outside appointments for patients.
  • Checking patients in/out for their office appointments. Facilitates patient flow by notifying the provider of patients' arrival, being aware of delays, and communicating with patients and clinical staff.
  • Obtains external medical reports as required by medical professionals
  • Must exercise tact to provide excellent customer service for patients, and adhere to patient confidentiality and privacy protocols in accordance with practice policies and HIPAA requirements
  • Maintains patient waiting areas, office files, and front-desk areas in a manner that is organized and neat.
  • Informs patient of any existing payment balance and requests patient be prepared for any payment due at the time of visit.
  • Calls patients daily to confirm upcoming appointment(s).
  • Verifies method of payment for service (Medicaid, Medicare, private insurance, private payee, etc.) and collects data and/or payment as appropriate. Collect co-pays and payments.
  • Faxes, scans, and files documents, including medical records/ EMR.
  • Prepare documents to mail out
  • Opens, stamps appropriately and distributes incoming mail.
  • Exercises problem-solving and conflict resolution skills when handling patient complaints; refers patient complaints to appropriate designated personnel as needed.
  • Maintains stock of office supplies
  • Communicates with pharmacies and insurance companies regarding patient medication or medication/testing authorizations.
  • Performs other duties as may be required.

REQUIREMENTS

  • Understands the importance of maintaining confidentiality; able to maintain confidentiality under HIPAA standards.
  • Excellent customer service and interpersonal communication skills; Cultural sensitivity and ability to work with diverse people groups.
  • Intermediate to advanced phone skills; able to effectively relate via the telephone and in-person to serve the needs of practice patients/clients/visitors in a manner that is efficient and productive.
  • Must be highly flexible; able to accommodate changing needs of the practice.
  • Good verbal and written communication skills. (Spanish speaking a plus)
  • Ability to communicate with a diverse range of people
  • Ability to work well under pressure with minimal supervision. Proven flexibility and willingness to handle a variety of tasks.
  • Basic to intermediate computer knowledge and skills.

Education and Experience

  • High school diploma
  • Certified Medical Assistant Preferred but not necessary
  • Knowledge of medical terminology, procedures, and diagnosis
  • Knowledge of computers and relevant software applications
  • Knowledge of general administrative and clerical procedures
  • Working knowledge of healthcare insurance preferred
