Administrative Assistant (Contract)

Summary:
We are seeking a highly skilled and experienced Administrative professional to provide comprehensive support to a fast-paced, globally focused sales organization. This fully remote role is central to keeping leadership and cross-functional teams aligned, organized, and operating efficiently. Job Responsibilities:
Manage complex executive calendars, including scheduling and prioritizing meetings across multiple time zones
Coordinate domestic and international travel logistics, including itineraries, accommodations, and ground transportation
Process and track expense reports, reimbursements, and budget-related documentation with accuracy and timeliness
Plan and coordinate meetings, conferences, and events, including preparation of agendas and supporting materials
Serve as a primary point of contact for internal and external stakeholders, maintaining professionalism and discretion at all times
Support recurring business cadences and help track action items to ensure organizational follow-through
Facilitate cross-functional communication and help drive execution across multiple stakeholders and global initiatives
Manage procurement of office supplies, equipment, and vendor relationships as needed
Provide general office and administrative support, including document preparation and correspondence
Complete special projects and ad hoc assignments as directed by leadership
Requirements:
5–7 years of administrative or executive support experience required
5–7 years of experience with Microsoft Office tools including Outlook, Word, Excel, and PowerPoint
5–7 years of experience coordinating travel logistics and managing travel tools
5–7 years of experience processing expense reports and managing reimbursements
Demonstrated experience supporting leaders with global or cross-functional responsibilities
Proven track record of stability and longevity in previous administrative roles
Experience in stakeholder-facing or people-facing support roles within large organizations
Availability to commit to a minimum 12-month engagement, with preference for candidates available for the full 18-month tenure
Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
Strong calendar management skills with experience supporting senior or executive-level leaders
Demonstrated experience coordinating complex domestic and international travel logistics
Proficiency in managing expense reports and reimbursement processes
Excellent written and verbal communication skills with a professional and polished presence
Strong phone etiquette and ability to build rapport with stakeholders at all levels
Highly organized with exceptional attention to detail and the ability to manage competing priorities
Proactive and self-directed with the ability to anticipate needs and act with minimal supervision
Ability to maintain confidentiality and exercise sound judgment in sensitive situations
Comfortable working across global teams and supporting Central Time Zone business hours

Duration: 12 months
Pay Range*: $25 - $28.50 per hour
Weekly Schedule: 40 hours
Job Status: Non-Exempt
