The Director of Administrative Operations role is responsible for all specific administrative activities common to a boutique public accounting firm and applying their technical skills to efficiently process client work, ensure completion of all internal firm administrative tasks and projects and supporting the firm’s goals and objectives.
Essential Functions
- Ensures all administrative processes support the timely and efficient completion of all firm administrative functions including, but not limited to, document management, workflow tracking, due date monitoring, operational reporting.
- Recommends process improvement and streamlining initiatives as needed
- Implements new and revised process and tracks effectiveness
- Monitors and tracks client onboarding
- Monitors, tracks and coordinates client communications with partners
- Responsible for the processing of individual and business tax returns, financial statements and all other client deliverables
- Supports electronic filing of client tax returns
- Administrative processing of billings and firm mailings
- Interprets and enforces administrative and operating policies and procedures for team members, while also keeping procedural documentation current
- Provide general administrative support
- Maintain filing system of client documents
- Perform data entry and scans documents

Work Environment
This job operates in a professional office environment.
Position Type and Expected Hours of Work
This is a full-time, exempt position. General office hurs are from 9:00 to 5:30. Work hours may exceed the general office hours as workload demands. Additional hours including evenings and weekends during Tax Season (typically February through April 15 due date and September through October 15 due date) should be anticipated.
Requirements
- High school diploma required. Bachelor’s degree preferred
- Minimum of 5 years of progressive CPA or Tax Law firm administrative experience.
- Demonstrated experience with high net worth/high profile client base.
- Tax firm software experience required. Practice CS preferred.
- Demonstrated ability to prioritize projects and strong problem-solving skills
- Demonstrated ability to multi-task in a fast paced and deadline driven environment.
- Demonstrated ability to recommend and adopt/apply emerging technologies
- Proficient in the use of various MS Office programs, including Word, Excel, PowerPoint, and Outlook.
- Acute understanding of and ability to maintain confidentiality of private and sensitive information and documents.
- Excellent communication skills – written and verbal
