Our client, in Boca Raton, FL - (Onsite) seeks professional Paralegal/Office Manager with strong Executive Administrative skills for a small office managing office skillset for their crucial role as it plays a pivotal part in ensuring the smooth functioning of operations, fostering organizational efficiency, and supporting strategic decision-making. This position greatly impacts team collaboration by coordinating efforts across departments, streamlining processes, and facilitating communication channels. This position total supports the CEO/Owner and interacts with key stakeholders such as C-suite executives, and external partners, positioning them at the core of the company’s structure. Success in this role is measured by the ability to meet deadlines, maintain high levels of organization, enhance productivity, and contribute to the achievement of company objectives through defined key performance indicators.
Key Responsibilities
- Assist in managing complex commercial real estate acquisitions, dispositions, and development transactions from inception to closing. Draft legal documents, manage due diligence, review title/surveys, and coordinate with outside counsel and lenders.
Core Responsibilities
- Transaction Management: Lead closings for acquisitions, dispositions, and development projects, preparing closing checklists, documents, and coordinating with lenders and title companies.
- Due Diligence: Conduct thorough due diligence, including reviewing title commitments, UCC filings, and surveys to resolve potential risks.
- Drafting & Reviewing: Draft purchase agreements, deeds, closing documents, and corporate certificates. Review and abstract commercial leases, REAs, and amendments.
- Corporate Governance: Prepare documentation regarding entity formation, authority to transact, and maintain compliance records.
- Compliance & Research: Advise on zoning, environmental, and land use regulations
- Oversee daily operations: administrative tasks, and vendor relationships to ensure efficient project workflows.
- Support developers by managing project documentation, assisting with financial records (invoices/budget tracking), coordinating team schedules, and maintaining office compliance, often acting as the central hub for administrative and operational tasks
Required Skills and Qualifications
- Proficiency in Microsoft Office Suite, project management software, CRM platforms, data analysis tools, and cloud-based collaboration tools.
- Paralegal Certification and/or degree in Legal Studies .
- Minimum of 5 years of experience in legal and administrative role.
- Experience in fast-paced environments or multinational corporations is a plus.
- Excellent communication skills, problem-solving abilities, adaptability to changing priorities, strong leadership qualities, and a high level of attention to detail.
- Understanding of regulatory compliance, industry-specific practices, and business operations to effectively navigate administrative challenges in the sector. Finiancial Industry experience a must

- Base Salary: Competitive salary range commensurate with experience and skills.
- Bonuses Dscretionary bonus
Salary : $90,000 - $95,000
