We are seeking a highly organized, operationally sophisticated Studio Manager to oversee the day-to-day infrastructure of the business on a freelance basis. This is not a styling assistant role. This is a strategic operations position.
Role Description The Studio Manager is a contract, on-site role based in New York, NY, responsible for overseeing daily studio operations and supporting the lead stylist and creative team. Day-to-day tasks include coordinating client appointments, managing studio calendars, and ensuring smooth communication between clients, vendors, and internal team members. The role involves supervising studio workflows, tracking projects and deadlines, organizing fittings and photoshoots, and maintaining an orderly, well-stocked studio environment. The Studio Manager will also assist with basic invoicing processes, handle client inquiries, and help improve studio procedures to enhance efficiency and client satisfaction.
The Studio Manager serves as the operational backbone of the studio. This individual ensures that internal systems, logistics, financial tracking, scheduling, and team coordination operate seamlessly so that creative output remains elevated and uncompromised. The ideal candidate thrives in high-performance environments, anticipates needs before they arise, and brings structure to fast-moving, high-visibility projects.
Key Responsibilities
- Studio Operations & Logistics
- Oversee daily studio operations and workflow management
- Manage calendars for fittings, pulls, returns, travel, press tours, and major events
- Supervise shipping logistics, tailoring timelines, and inventory tracking
- Maintain styling closet organization and digital inventory systems
- Ensure fittings are fully prepped (racks, look boards, accessories, emergency kits)
- Financial Oversight & Vendor Management
- Track invoices and client billing
- Reconcile expenses in coordination with accounting
- Manage vendor payments (couriers, tailoring, assistants, freelance teams)
- Identify and flag cost-saving opportunities
- Team & Project Management
- Oversee assistants and freelance stylists
- Lead weekly team check-ins
- Develop and manage project timelines for premieres, press tours, and award season
- Ensure deadlines are met across all active projects
- Improve systems and documentation to support scalability
- Client & Brand Liaison Support
- Coordinate logistics with PR teams and brand partners
- Manage pull confirmations, deliveries, and returns
- Maintain white-glove communication standards
- Assist company CEO on other creative projects such brand partnerships, social partnerships, collaborations, etc
- Systems & Infrastructure
- Build and refine Standard Operating Procedures (SOPs)
- Optimize digital systems and operational trackers
- Develop scalable workflows to support growth
- Qualifications
- 3-5 years of experience in operations, production management, or creative studio management
- Experience within fashion, entertainment, PR, or other high-touch environments strongly preferred
- Fashion market knowledge is a plus
- Strong financial tracking and organizational skills
- High emotional intelligence and absolute discretion
- Calm under pressure and capable of managing high-stakes and fast paced environments
- Strategic, proactive, and solution-oriented mindset
- Fluent in English (written and spoken) required
