POSITION OVERVIEW
Miami Waterkeeper seeks a dynamic and organized Events Coordinator to lead the planning and execution of donor cultivation, stewardship, and fundraising events, from large-scale gatherings of several hundred people to boat tours. This role is responsible for managing event planning, logistics, vendors, timelines, and event follow-up to create meaningful donor experiences that support fundraising goals.
The Events Coordinator also plays a shared role in donor acknowledgment and stewardship, working closely with the Development Associate to ensure a seamless donor experience before and after events. The Events Coordinator will also interface with and cultivate donors and sponsors.
ESSENTIAL RESPONSIBILITIES
Event Planning & Execution
- Lead the planning, coordination, and execution of donor cultivation and stewardship events
- Serve as primary point of contact for event vendors (venue, catering, A/V, photography, rentals, etc.), from solicitation through payment
- Develop and manage event timelines, budgets, and run-of-show plans
- Coordinate logistics with internal teams, speakers, sponsors, and special guests
- Manage event materials, registration, guest lists, seating, and on-site logistics
- Brief and debrief staff and volunteers for events
Event Follow-Up & Stewardship
- Coordinate post-event follow-up, including personalized thank-yous and stewardship touchpoints
- Collaborate with the Development Associate to ensure event attendance and engagement are accurately recorded in the CRM
- Support donor acknowledgment related to event-based giving and sponsorships
Communications & Design Support
- Lead event-related communications plans (invitations, reminders, follow-up emails)
- Prepare event materials and signage
- Support website or event platform updates as needed
QUALIFICATIONS
Required:
- 2–4 years of experience in event planning, development, or nonprofit engagement
- Extremely high attention to detail
- Strong project management and organizational skills
- Experience managing vendors and budgets
- Excellent interpersonal and communication skills
- Experience in hospitality and/or donor relations
- Ability to work occasional evenings and weekends for events
Preferred:
- Experience working with Constituent Relationship Management (CRM) donor database
- Canva or basic design experience
