Performs confidential secretarial and administrative duties for the Chief Executive Officer and Chief Financial Officer and provides assistance to other departments in Administration; Must have ability to evaluate and prioritize tasks and responsibilities; Often functions as an assistant in anticipating needs and making necessary preparations, etc. without requiring specific instructions.

Job Summary

Essential Job Functions
- Prioritizes and follows through on daily tasks and issues in a timely manner
- Schedules appointments and maintains daily schedule and calendar for Executive and 2 Albin conference rooms
- Arranges and coordinates travel arrangements
- Acts as liaison between the CEO and CFO, the public, staff members, attorneys & consultants, to expedite communications
- Coordinates and manages all aspects of meetings and events
- Records, transcribes, distributes, and maintains minutes and notes of meetings
- Files and retrieves documents and reference materials
- Monitors, responds to, and distributes incoming communications
- Answers and manages incoming telephone calls
- Prepares and edit correspondence, communications, presentations, and other documents
- Receive and interact with visitors and guests
- Develops plans and implements all aspects of special projects as assigned
- Handles confidential matters with appropriate urgency and discretion
- Serves as back up to Manager Telephone Services for conference call reservations
- Acts as Wi-Fi “hotspot” administrator for guests and consultants
Job Requirements
- Bachelor’s degree or equivalent combination of education and experience
- Five years of office administrative experience in Executive Office
- Experience working with Executive Committees and Board of Directors
- N/A
- Experience within executive office setting
- Background with corporate records, recording minutes, and Board of Directors
- Proficient in MS Office, OrgPlus, Adobe Acrobat
- Detail oriented
- excellent organizational skills
- 60wpm typing
- Excellent communication, interpersonal and communication skills
