Overview:

The Operations Support Assistant is responsible for managing front desk and reception area. Performs clerical work in support of department/program, prepares and monitors diversion agreements. Assignments vary and require knowledge of specific departmental procedures and practices of varying complexity and interpretation. Works under varied levels of supervision.

Duties and Responsibilities:

  • Compose legal documents and correspondence including but not limited to complaints, warrants, affidavits, petitions, journal entries, agreements, letters, memos, motions, orders, subpoenas, summons and briefs.
  • Creates and maintains files-physical and electronic files.
  • Provides customer assistance both by telephone and in person.
  • Prepares files for Court.
  • Reviews jail sheet to determine priority of legal work.
  • Communicate with law enforcement including the jail on the availability of reports.
  • Tracks and maintains case files including filing of pleadings and calendaring for hearings.
  • Scans documents into computer database to maintain a permanent electronic copy.
  • Prepare diversion documents.
  • Monitor diversions for compliance with requirements.
  • Monitor bad check requests/complaints for payment.
  • Monitor unsupervised probation.
  • Coordinates with court staff.
  • Contact other courts for certified copies.
  • Obtain driving records from the State.
  • Run bad check statistical report.
  • Complete KS Disposition Report forms for submission to KBI.
  • Perform duties of Office Coordinator and Victim Witness Coordinator when they are absent.
  • Review files/documents for scanning and/or destruction.
  • Review outstanding warrants for service attempts.
  • Filing of documents into case files.
  • Maintain books and manuals for office library.
  • Attend job related training as required.

Position Requirements:

  • High School Diploma or equivalent required; education concentration in the legal field or certification in such preferred, plus 3-5 years administrative or related experience generally preferred.
  • Valid driver’s license required.

Knowledge, Skills, Abilities:

  • Computer software programs and applications such as MS Office.
  • County and/or city government administration.
  • Paralegal work
  • Patterns of violence and communication with victims
  • Excellent customer service skills with the ability to interact in a positive and professional manner to develop and maintain strong working relationships with co-workers, management and general public.
  • Excellent written and verbal communication skills with the ability to clearly communicate goals, interests, and positions during discussions.
  • Strong attention to detail, organizational skills, and ability to prioritize.
  • Communicating with victims of crime.
  • Ability to read, analyze, and interpret general business documents and/or governmental regulations. Ability to write reports, business correspondence, and procedures.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and/or the general public.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Must be able to analyze many variables and choose the most effective course of action for the organization at any given point in time.
  • Ability to operate computer programs/software/platforms used by the county to perform job duties.
  • Ability to use basic office equipment.
  • Ability to manage multiple concurrent projects and meet deadlines.
  • Ability to maintain confidentiality.

Job Type: Full-time

Pay: $17.47 - $19.04 per hour
