Job Description: Construction Office Assistant
As a Construction Office Assistant, you are the backbone of our daily operations. This role requires a blend of financial precision, regulatory compliance, and proactive project support to ensure our commercial builds move forward without administrative delays.
Primary Responsibilities
Financial Management & Reporting
- Data Entry: Accurately input all receipts and invoices into QuickBooks Online (QBO) to maintain real-time job costing.
- Monthly Reconciliations: Perform full reconciliations for all bank accounts and credit cards within the first week of each month for the previous month's activity. Ensure all transactions are categorized correctly to maintain "clean books."
- Weekly Reporting: Generate and distribute weekly project financial reports from QBO to keep management informed on budget vs. actuals.
- Lien Management: Proactively request and track Release of Liens for all subcontractors active on commercial projects to ensure clear title and payment flow.
Compliance & Risk Management
- Insurance Oversight: Request, verify, and maintain up-to-date General Liability and Workers’ Compensation certificates for all subcontractors.
- Contract Administration: Manage the lifecycle of subcontractor agreements, including issuing new contracts and handling annual renewals.
- Legal Filings: Prepare and file Notices of Commencement (NOC) with the appropriate county offices to ensure project security.
Permitting & Project Support
- Permit Facilitation: Assist project managers in completing and submitting permit applications to local building departments.
- Operational Support: Act as a "utility player" to help facilitate general office needs and specific project requirements as they arise.
Key Qualifications
- QuickBooks Proficiency: Strong working knowledge of QuickBooks Online (specifically for the construction industry) is preferred.
- Detail Oriented: High level of accuracy regarding insurance expiration dates and lien waivers.
- Industry Knowledge: Familiarity with construction-specific documents like NOCs, COIs, and Subcontracts.
- Proactive Communication: Ability to follow up firmly but professionally with subcontractors and vendors.
Job Type: Full-time
Pay: $15.00 - $17.50 per hour
