What are the responsibilities and job description for the Accounts Payable & Receivable Specialist position at MGM Hospitality NY?
About the role
We're a fast-growing restaurant group operating and acquiring locations across multiple states, backed by our own operations technology. As we scale, the money has to be watched daily — vendors paid correctly, deposits landing as they should, and cash going out balanced against cash coming in. This role is the person who owns that. You're not just entering invoices; you're the one who picks up the phone, gets a payment fixed, and makes sure what the books say actually happened.
This is a high-volume, fast-moving seat. Invoices, deposits, and payments come in across many locations every day, and things can't sit — we need someone who moves quickly, keeps up with the pace, and clears their plate daily rather than letting it pile up.
You'll work across multiple entities and locations, inside our operations portal, QuickBooks, and our Mercury bank accounts. This is an on-site, in-office role — not remote.
What you'll do
- Own accounts payable and accounts receivable day-to-day across all locations — process vendor invoices, track receivables, and keep both current.
- Pick up the phone and resolve payment issues — call vendors, banks, and partners to fix a missed, short, duplicate, or misapplied payment and see it through to resolution. You chase it down; you don't wait for an email back.
- Reconcile daily — confirm that what was paid matches what was supposed to be paid, and that deposits (POS and delivery platforms) hit the right accounts in the right amounts. Catch discrepancies before they become problems.
- Balance upcoming expenses against incoming cash — know what's due, know what's landing in each account, and flag ahead of time when a location or entity is going to be short.
- Approve payments in our bank platform (Mercury) where authorized, following our approval rules, and route larger items for second approval.
- Work inside our operations portal and QuickBooks — keep both accurate and in sync, with clean vendor, invoice, and payment records.
- QA the portal reporting — review the financial numbers on our portal for accuracy and flag anything that looks off against source documents and the bank.
- Keep clean records and an audit trail for every payment, credit, and reconciliation.
What we're looking for
- Fast and high-output — you work quickly and accurately under volume, keep up when it's busy, and don't let items stack up. Speed with accuracy is the job.
- 3 years in AP/AR, bookkeeping, or finance operations — ideally in a multi-location, multi-entity, or high-transaction-volume business (restaurant, hospitality, or retail a strong plus).
- Proficient in QuickBooks and comfortable living inside software all day — portals, dashboards, bank platforms.
- Comfortable on the phone resolving payment and billing issues — persistent, professional, and able to get to "done."
- Strong reconciliation instincts — you notice when a number is wrong and you don't let it slide.
- Experience with business banking platforms (Mercury a plus) and an understanding of cash flow — matching outflows to inflows.
- Highly organized, self-directed, and quick — you close loops same-day without being chased, and you can hold the details across many locations at once.
- Discreet and trustworthy — you'll have visibility into company cash and approvals.
Nice to have
- Experience with Toast, Clover, or restaurant POS deposit reconciliation
- Exposure to multi-entity accounting
- Background in a company that was actively growing or integrating new locations
