About the Role
As the Office Manager, you will be the driving force behind a well-run clinic?responsible for the leadership, operations, and culture that define the patient and team experience. You?ll manage daily administrative functions, lead and develop your team, and collaborate closely with physicians and clinical staff to ensure seamless, patient-first care.
This role requires a strong operational leader who is proactive, service-oriented, and committed to driving performance and professionalism. You?ll be expected to lead with integrity, manage through influence, and deliver results across people, process, and patient care.
What You?ll Do
- Oversee day-to-day non-clinical operations and front desk workflows
- Hire, onboard, train, and mentor new team members
- Evaluate staff performance and provide coaching, feedback, and accountability
- Lead weekly 1:1s, attend monthly leadership meetings, and participate in off-site quarterly team gatherings
- Own the clinic schedule?create and manage staffing coverage, approve PTO, and ensure appropriate support
- Communicate and implement updated policies and procedural changes
- Track and optimize KPIs related to utilization, scheduling, and resource management
- Ensure customer service excellence and handle patient concerns with empathy and professionalism
- Serve as the first point of contact for all office-related issues and coordinate with upper management
- Manage supply ordering, inventory tracking, and monthly facility audits
- Monitor clinic cleanliness, organization, and building maintenance needs
What You?ll Bring
- 2 years of leadership or management experience, ideally in healthcare, retail, or service environments
- Excellent communication skills?including active listening, clear delegation, and professional writing
- Proficiency in using scheduling, reporting, or office management tools
- A service-oriented mindset and the ability to resolve issues calmly and quickly
- Strong time management, multitasking, and organizational skills
- High school diploma or equivalent required
- Basic knowledge of medical terminology preferred
- Bilingual (Spanish/English) is a plus, not required
Compensation & Expectations
- Base Salary
- Quarterly bonuses up to $2k
- This is a salaried, exempt position
- Standard schedule is 40 hours/week, with additional time as needed to fulfill leadership responsibilities
