Summary
The Senior Assistant Registrar serves as a primary resource for the Methodist University community, executing key academic functions that directly impact student success. The position executes a range of administrative and academic support functions designed to foster a student-centered environment and support the needs of departmental academic programs and services. The Senior Assistant Registrar will collaborate with campus partners to identify and assist with operational, registration, and course scheduling needs and will ensure compliance with university, federal, and state, regulations, and policies. The Senior Assistant Registrar reports directly to the University Registrar.
Role and Responsibilities
• Coordinate and manage all aspects of course and classroom scheduling in the SIS to support the student registration process.
• Ensure faculty course assignments are entered accurately in collaboration with department chairs, division heads, deans, and human resources.
• Oversee the process for departmental schedule submissions and revisions in accordance with scheduling best practices, universal start times, course cancellation, and credit hour policies.
• Ensure SIS and portal readiness for opening of terms and related student registration cycles.
• Review and update system course pre-requisites and co-requisites
• Liaise with academic department chairs and division heads to resolve complex course and classroom scheduling matters.
• Enter special registration permissions and directed study sections.
• Collaborate with advising team to identify and communicate departmental course needs through degree audit and course planner system tools.
• Analyze course scheduling trends and make recommendations for improvement where appropriate.
• Monitor departmental curriculum and university policy updates that directly impact academic scheduling.
• Resolve student and faculty course registration and override matters.
• Create and distribute mid-term and final grade memos to faculty and staff.
• Coordinate start-of-term mandatory attendance reporting efforts with faculty and online partners.
• Serve as secondary for all administrative support functions in absence of Assistant Registrar
• Perform preliminary academic degree audits for potential graduates, as needed.
• Assist with commencement related activities, as needed.
• Assist with special projects as needed and assigned.
Qualifications
Required Education and Competencies
• Bachelor’s degree
• 2-3 years of related professional experience in a college or university Registrar’s Office
• Knowledge of best practices and guidelines for academic course scheduling.
• Thorough, organized, and detail-oriented approach to work.
• Ability to effectively communicate and collaborate with campus constituents.
• Experience interpreting and applying FERPA, federal, state, and institutional policies, and guidelines.
• Understanding of best practices in academic records management
Preferred Education and Competencies
• 3-5 years of related professional experience in a college or university Registrar’s Office
• Experience coordinating and managing course and classroom scheduling processes
• Demonstrated knowledge of scheduling best practices
• Experience collaborating with academic departments and faculty
