Job Title: Payroll Coordinator
Position Summary
The Payroll Coordinator is responsible for the accurate and timely processing of payroll for all Metal Shark locations. This position administers payroll and timekeeping systems, maintains payroll records, prepares payroll-related reports, ensures compliance with federal and state regulations, and provides exceptional customer service to employees regarding payroll matters. The Payroll Coordinator also supports the Human Resources department through reporting, documentation, and special projects.
Essential Duties and Responsibilities
Payroll Administration
- Process accurate bi-weekly payroll for all company employees.
- Review payroll data to ensure accuracy of employee hours, earnings, deductions, taxes, and benefit withholdings.
- Enter and verify payroll changes including new hires, terminations, promotions, transfers, pay adjustments, garnishments, bonuses, and other compensation changes.
- Audit payroll transactions and resolve discrepancies prior to payroll processing.
- Maintain confidentiality of payroll and employee information.
- Ensure compliance with all applicable federal, state, and local wage and hour laws.
Timekeeping Administration
- Serve as administrator for the company's payroll and timekeeping systems.
- Monitor employee time records for completeness and accuracy.
- Assist supervisors and employees with timekeeping questions and corrections.
- Troubleshoot payroll and timekeeping system issues.
Reporting & Compliance
- Prepare and distribute payroll reports, labor reports, manhour reports, and management reports.
- Generate HR and payroll reports from various systems as requested.
- Maintain payroll documentation and process procedures.
- Support audits by providing payroll records and required documentation.
- Assist with year-end payroll activities, including W-2 preparation and reconciliation.
Benefits & HR Support
- Reconcile employee benefit deductions with carrier invoices to ensure billing accuracy.
- Assist with contractor setup and tracking.
- Prepare, process, and distribute HR-related forms and correspondence.
- Support the HR Manager with reporting, projects, and administrative initiatives.
- Maintain payroll and personnel records in accordance with company policies and record retention requirements.
Qualifications
Education
- Bachelor's degree in Business Administration, Human Resources, Accounting, Finance, or a related field preferred.
Experience
- Minimum of 3–5 years of payroll processing experience, preferably multi-state, over 250 employees required
- Experience with HRIS, payroll, and electronic timekeeping systems.
Knowledge, Skills, and Abilities
- Thorough understanding of payroll laws, wage and hour regulations, and payroll best practices.
- Strong analytical skills with exceptional attention to detail and accuracy.
- Excellent organizational and time management skills with the ability to prioritize multiple deadlines.
