Regional Business Administration Coordinator

What You’ll Do
A. Daily Administrative Execution
- Verify, process, and route daily pharmacy orders to align with center needs.
- Communicate with centers regarding deadlines, corrections, and missing documentation.
- Review daily deposits, refunds, credit card batches, and close-out documentation for accuracy.
- Support and audit health-screen scheduling requests.
B. Weekly Administrative Operations
Payroll Processing:
- Validate timecards, PTO entries, and labor allocations.
- Ensure accurate hours and submit payroll packets/escalations.
Stock Ordering:
- Gather center needs, review usage trends, place weekly orders, and reconcile confirmations.
Inventory Review:
- Validate center-submitted counts, compare variances, and flag anomalies or shrinkage.
Administrative Compliance:
- Collect, review, and route weekly admin packets.
- Perform weekly SOP compliance checks.
C. Monthly Administrative Operations
- Complete pharmacy reconciliation (PO vs. invoice vs. CC transaction).
- Reconcile supplement and stock usage against orders and inventory data.
- Prepare month-end administrative and spend variance reports.
- Conduct month-end payroll audits.
D. Financial & Expense Protection
- Review payables weekly/monthly for proper coding and accuracy.
- Track vendor spend and identify unusual increases or duplicate charges.
- Verify services/products received prior to approving invoices.
- Maintain regional financial trackers.
- Flag high-risk administrative concerns within 48 hours.
E. Center-Level Support & Accountability
- Train and coach center managers on administration standards.
- Follow up on missing documents or incorrect submissions.
- Hold centers accountable to daily/weekly/monthly tasks.
- Maintain and reinforce administrative SOPs across the region.
F. Reporting & Analytics
- Generate weekly scorecards and reconciliation summaries.
- Update KPI dashboards and monitor regional performance trends.
- Track labor costs, ordering behavior, shrinkage, and variances.
- Prepare data-driven escalation reports for leadership.
What You Bring
- Payroll experience (any platform)
- Inventory and ordering management experience
- Strong Excel/Google Sheets skills (VLOOKUP/XLOOKUP, pivots, formulas)
- Experience supporting multiple locations or multi-site operations
- High accuracy, accountability, and follow-through
- Excellent communication and organizational abilities
