We are seeking a highly motivated Project Accounting Coordinator to join our team. This role is responsible for providing support to division presidents and project managers to ensure timely project set-up and maintenance for accurate billing and project reporting.
This position will have the flexibility to work from Merjent's Minneapolis, Minnesota office or remotely from a home office anywhere in the United States. The anticipated annual salary for this position is between $72,100 and $88,600 annually, depending upon the qualifications and experience of the successful candidate. This position is also bonus eligible.

responsibilities
- Establish and maintain accurate project setup in the company project system, including client contacts, contract requirements, fee schedules, rate tables, and timesheet mapping.
- Support Project/Program Managers with reporting, project controls, and client-requested financial or operational reports.
- Prepare, edit, finalize, and distribute invoices to internal and external clients, including maintaining supporting documentation and client billing spreadsheets.
- Upload invoices and required backup documentation to client portals such as Taulia, Transcepta, Coupa, SharePoint, and Open Invoice.
- Monitor accounts receivable over 60 days and coordinate with project managers/billing managers to support timely client payment collection.
- Track unbilled expenses and zero-rate timesheets, working with project managers to ensure timely resolution and invoicing.
- Provide system support and training participation related to the company accounting/project system and perform additional duties as assigned.
qualifications and experience
- Associate degree or Certificate in Accounting or at least 2 years of post-secondary study in Accounting, Finance, or related field.
- A minimum of 2 years' entry level accounting experience.
- Ability to proactively identify inefficiencies in accounting or billing processes and suggest solutions.
- Experience with accounting and payroll systems (e.g., Deltek Vantagepoint, ADP).
- Advanced Excel skills and proficiency in Microsoft Office and Adobe Acrobat.
- Strong attention to detail, organization, and ability to manage multiple priorities and deadlines.
- Effective communicator and collaborative team player with the ability to work independently and drive process improvements.
