Position Overview
As our HVAC Dispatcher, you will serve as the central hub of daily service operations—coordinating schedules, communicating with clients and technicians, and ensuring all work is completed efficiently and accurately. You will play a key role in delivering a high-quality customer experience while keeping operations organized and on track.
Responsibilities
- Manage and control the daily HVAC service schedule and dispatch board
- Receive, prioritize, and schedule incoming service and maintenance requests
- Dispatch technicians based on skillset, location, and urgency
- Communicate professionally with customers, technicians, and internal teams
- Handle incoming calls, customer inquiries, and service-related concerns
- Maintain accurate records, work orders, and service documentation
- Follow up on open jobs and ensure timely completion and closeout
- Assist with material coordination and job readiness
- Support billing processes and job closeout accuracy
- Identify opportunities for additional services and support business growth
- Help maintain efficient office operations and administrative processes
Requirements
- Previous experience in dispatching, scheduling, or administrative support (HVAC or service industry preferred)
- Strong organizational skills with excellent attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Clear, professional communication skills (written and verbal)
- Customer-first mindset with strong problem-solving abilities
- Comfortable making decisions and keeping workflows moving
- Proficiency with Microsoft Office and general computer systems
- Team-oriented with the ability to work independently
- HVAC or trade knowledge is a plus, but not required
