Position Title: Coordinator - Central Intake
Location: Gainesville, FL
Salary: $16.00|hour | non-exempt

This is a professional position assigned to the Access and Admissions Department which is responsible for carrying out daily business operations of Centralized Intake Team consistent with Meridian's Strategic Plan. The Coordinator is responsible to coordinate the workflow in conjunction with program managers and/or Vice Presidents and the providers. This includes carrying out daily processes to coordinate walk-in appointments, telehealth services, wait lists, and compliance reports and to track completion of required clinical documentation. The work requires skills in client relations, intra and interdepartmental communication and competency in/with technology and related devices, including telehealth video screens, and messaging systems

Minimum Qualifications:

  • Associate or bachelor's degree in business or public administration, Public Health, or closely related field; preferred.
  • Two years' experience in administrative services at a behavioral health agency preferred.
  • Experience in quality improvement processes.
  • Skills in process of client relations required.
  • Competency in/with technology and related devices, including telehealth video screens, and messaging systems required.

Essential Duties/Responsibilities:

  • Work closely with Access and Admission managers, clinical and support staff, and senior management to support efficient operations of outpatient clinic.
  • Identify, monitor and track key performance indicators for access, efficiency, and effectiveness of outpatient services.
  • Continuously evaluate systems and processes in the outpatient clinics to meet targets for same day/next day access to care, client and staff satisfaction, and revenue; and collaborate with program management to identify and implement improvements at the systems level.
  • Monitor clinical schedules for assignment of intakes based on multiple factors including therapist caseload, primary fund source requirements, and daily workload.
  • Coordinate walk-ins, telehealth services, and wait lists to reduce clinical and fiscal impacts of no-shows and late cancellations.
  • Support expansion of telehealth services.
  • Provide timely feedback to staff, program management, and Vice President or SVP on clinic operations, and on client and staff satisfaction or concerns.
  • Assist Quality Improvement with policy and procedure development/revision, preparation for audits and site visits, and investigation of incidents or adverse events.
  • Helps to ensure the collection of data to ensure pertinent information is accurate regarding admissions, discharges, primary therapist assignments, discharge dates, Medicaid or other 3rd party payer status, etc., for staff.
  • Performs other duties as required to meet program and departmental goals and objectives.
