[Role Overview]
We are seeking a dynamic and highly organized professional Executive Assistant to join our Operations team in a unique dual-capacity role. This position is split between providing executive assistant support to our Operations Lead and serving as one of the go-to Events Production Coordinators for our employees.
Both roles require a balance of strategic thinking and hands-on execution, with an emphasis on keeping the Director of Operations and cross-functional teams running smoothly.
[What You’ll Do]
Executive Assistant to Operations Lead:
- Manage the Director of Operations’ calendar, including scheduling meetings, calls, and internal check-ins.
- Draft and manage correspondence (emails, memos, presentations, reports) for internal and external use.
- Prepare agendas, take meeting notes, and track follow-ups to ensure timely execution.
- Handle sensitive and confidential information with the utmost discretion.
- Monitor and prioritize executive email accounts.
- Organize and maintain confidential files and records for easy accessibility.
- Coordinate travel arrangements and expense reporting.
- Support cross-functional alignment across 6 internal branches.
- Assist in developing and improving administrative systems and workflows.
Executive Assistant – Events & Production Support:
- Support planning and execution of company events, creator activations, and content productions.
- Coordinate with vendors, freelancers, and other external partners.
- Assist with on-site needs including event setup, receiving deliveries, organizing inventory, and general logistics.
- Help maintain team systems (Google Drive, project trackers, operational checklists).
- Support onboarding and communications across cross-functional teams.
- Track task completions and follow up with stakeholders to ensure alignment.
- Provide occasional administrative support (agendas, notes, scheduling) as needed.
- Comfortable lifting and assisting with basic physical tasks (up to 25 lbs).
[Qualifications]
Required:
- 2–4 years of relevant administrative, operational, or event coordination experience (startup, creative, or production environments preferred).
Preferred:
- MBA, Business Acumen,
- Strong organizational skills with the ability to prioritize and adapt in real time.
- Excellent written and verbal communication skills.
- High level of discretion and professionalism.
- Proficiency with Google Workspace and project management tools.
- A proactive, hands-on problem solver who isn’t afraid to jump in where needed.
