What are the responsibilities and job description for the Office Assistant position at Executive Taxes?
Seeking an Office Assistant that plays a vital role in our front office during tax season (January to June). Must be bilingual (Fluent Spanish).
This is a full time-time, temporary position from January-June only. This job is only for our busy tax season and will come to an end in June. Evenings and Saturdays will be required during tax season (January-June).
Duties and responsibilities will include but are not limited to:
- Greet clients
- Data Entry: Accurately input client information and financial data into our tax software and databases.
- Administrative Support: Perform general office tasks, including photocopying, scanning, faxing, and filing client documents.
- Assembly of tax returns or other client documents
- Mail Handling: Responsible for sorting and distributing incoming mail, as well as preparing outgoing mail and packages.
- Provide administrative support to professional staff
- Scheduling and confirming of client appointments
- Answering phones/checking voicemails & emails ( high volume )
- Set up clients in our system, prepare tax files
- Assisting with Tax Returns: Provide support to tax professionals by gathering and organizing necessary financial documents, ensuring files are complete and accurate.
- Misc. office duties as needed
Qualifications
- Must speak fluent English & Spanish
- High school diploma or GED
- Must be reliable, dependable, responsible, detail-oriented, and have good phone etiquette
- Customer Service / Sales
- Punctual, honest and energetic
- Excellent interpersonal and oral communication skills and must thrive under pressure
- Exceptional attention to detail and accuracy
- English and Spanish Fluent (Required)
- General Office Work - Computer Literate, Filing, Faxing, Copying, Scheduling Appointments, assist with data entry and tax forms
- Excellent Customer Service and handle heavy inbound and outbound customer calls, text messages and emails
- Able to multitask and handle a variety of challenges quickly, with a high level of accuracy in a fast paced office environment
- Friendly and personable, capacity to speak to clients in person and on the phone with an energetic attitude and positive demeanor
- Ability to multi-task and not afraid to ask questions
- Must be honest, reliable and organized
- Run errands as needed for supplies, etc..

Pay: $18.00 - $21.00 per hour
