The Customer Service Representative (CSR) plays a vital role in creating a welcoming and professional experience for our customers. The ideal candidate is friendly, organized, and thrives in a fast-paced environment. As the first point of contact, you will manage front desk operations, support our service team, and ensure clear communication between customers and technicians.
Key Responsibilities
- Customer Service & Communication
- Greet customers warmly and professionally in person and by phone
- Assist with check-ins, service inquiries, and follow-ups
- Provide updates on vehicle service status and estimated completion times
- Appointment & Service Coordination
- Schedule appointments and coordinate with technicians
- Sales & Product Support
- Educate customers on recommended services, including oil changes, tire rotations, and accessories
- Explain warranty coverage and service agreements
- Front Desk & Documentation
- Prepare and manage work orders, invoices, and customer records
- Accurately enter vehicle and service data into our system
- Payment Processing & Reporting
- Process payments (cash, credit, debit) and balance cash register daily
- Assist with credit reconciliation and basic bookkeeping
- Inventory & Warranty Coordination
- Monitor parts inventory, place orders, and track returns and cores
- Assist with warranty claim submissions and fleet account AR monitoring
- Workplace Organization
- Maintain a clean, professional front desk and customer lounge area
- Ensure marketing materials and displays are up to date
- Team Collaboration
- Work closely with technicians and management to ensure efficient shop flow
- Provide support on special projects and general operations as needed
Qualifications:
- Customer Service Experience: Prior experience in automotive, retail, or service-based customer roles preferred
- Communication Skills: Clear, courteous, and professional verbal and written communication
- Multitasking: Ability to manage multiple priorities in a fast-paced environment
- Technical Skills: Comfort using POS systems, scheduling platforms, and Microsoft Office
- Automotive Knowledge: Familiarity with automotive terms and services is a plus, but not required
- Professionalism: Reliable, punctual, and committed to delivering excellent customer service
