Position Summary:
The Program Coordinator plans and coordinates the day-to-day fiscal, administrative, and operational activities of the federally funded grants – Tennessee Center for AIDS Research (TN-CFAR) funded by the NIH. The program coordinator is focused on managing both the budget and program activities. Duties typically include grant planning and administration, budget management and control, program implementation and administration, internal and external operational/administrative liaison, program marketing, and reporting. Also, the program coordinator is the fiscal officer for the Center for AIDS Health Disparities and assists with the budget development for the Center
Essential Functions:
  • Organize programs and activities in accordance with the specific aims and goals of the grant(s)
  • Produce accurate and timely progress and budget reports to program director, executives and program sponsors (VUMC and NIH).
  • Develop, implement and monitor multiple budgets for grant(s)
  • Serves as a principal administrative liaison between Meharry and Vanderbilt and other CFAR Partnership associates
  • Coordinate and manage program activities including external and internal advisory committee meetings, annual retreats and regional health disparities conferences.
  • Manage the detailed aspects of multiple cores (Administrative, Laboratory sciences and others) & projects (CFAR and other HIV center pilot project)
  • Manage and mentor staff with a diverse array of responsibilities
  • Assist SOM Basic Science Department Administrator with budget development, preparation and administration along with serving as back-up administrator for the HIV center:
  • Assist team members and program director when needed to accomplish grant objectives and goals
  • Prepare, administer and monitor the budget (both personnel and non-personnel) for the Center for AIDS Health Disparities Research (CAHDR)
  • Implement and manage changes to ensure project goals are achieved
  • Assist SOM with budget development in relation to the CFAR and other HIV center grants
  • Performs other related duties as assigned.

  • Ability to utilize keen judgment in evaluating information to make administrative/procedural decisions and judgments.
  • Ability to work in a stressful environment.
  • Skill in organizing resources and establishing priorities.
  • Knowledge of finance, accounting, budgeting, and cost control procedures.
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Ability to gather and analyze statistical data and generate reports.
  • Advanced writing and editorial skills.
  • Clerical, word processing, and/or office skills.
  • Tech savvy, proficiency in personal computers and related software application, audio/video conferencing, presentations.
  • Ability to interact with students, faculty and/or staff in a team environment.
  • Records maintenance skills.
  • Ability to coordinate and organize meetings and/or special events.
  • Ability to lead and train staff and/or students.
  • Knowledge of communication principles, media, and marketing techniques.
  • Must be team oriented.
Education and Experience Required:
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
OR:
  • High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.
