Receptionist / Shipping & Receiving / Facilities Support (Contract)
Summary
We are seeking a highly organized and service-oriented professional to support daily operations at a fast-paced research facility. This role serves as the first point of contact for visitors while managing shipping and receiving activities and providing general facilities support. The ideal candidate is detail-oriented, proactive, and comfortable balancing multiple responsibilities in a dynamic environment.
Key Responsibilities
Shipping & Receiving
- Manage incoming and outgoing shipments, including laboratory materials, equipment, and office supplies
- Receive, inspect, log, and distribute packages accurately and efficiently
- Coordinate outbound shipments and prepare required documentation
- Track shipments and resolve delivery issues with vendors and carriers
- Support invoice and packing slip verification
Reception & Visitor Management
- Greet visitors, vendors, and contractors and manage check-in procedures
- Issue visitor badges and coordinate site access with internal teams
- Answer and direct incoming calls and general inquiries
Security & Access Support
- Assist with access control processes and visitor coordination
- Monitor entry points and follow established security procedures
- Escalate any access or safety concerns as needed
Facilities Support
- Assist with general facility operations and workplace organization
- Coordinate vendor services, deliveries, and facility-related requests
- Support day-to-day upkeep of office and common areas
Qualifications
- High school diploma or equivalent
- 2 years of experience in reception, shipping/receiving, facilities, or similar role
- Strong organizational and multitasking skills
- Excellent communication and customer service abilities
- Proficiency with basic computer systems (email, spreadsheets, shipping tools)
- Ability to lift up to 40 lbs as needed
Preferred
- Experience in a lab, research, or life sciences environment
- Familiarity with shipping carriers (FedEx, UPS, DHL, freight)
- Experience with visitor management or access control systems
- Proactive, detail-oriented, and able to work both independently and as part of a team
