Job Summary
This Operations Coordinator supports the day-to-day operations of a research facility by combining front desk reception, shipping and receiving coordination, and general facilities support. As the first point of contact for visitors and vendors, the position ensures a professional and secure environment while managing the flow of materials critical to laboratory and business functions. Responsibilities
- Manage all incoming and outgoing shipments, including receiving, inspecting, logging, and distributing packages.
- Coordinate outbound shipments, prepare documentation, and ensure proper packaging and labeling.
- Track shipments, maintain accurate records, and resolve delivery or logistics issues with vendors and carriers.
- Verify invoices and packing slips in support of procurement activities.
- Serve as the primary reception contact by greeting visitors, managing check-in procedures, and issuing badges.
- Answer and direct incoming calls and general inquiries.
- Support facility security processes, including access control, visitor coordination, and monitoring entry points.
- Assist with general facilities tasks such as workspace organization, vendor coordination, and operational support.
Qualifications
- High school diploma or equivalent and 2 years of experience in reception, shipping/receiving, facilities support, or a related role.
- Proficiency with basic computer systems (email, spreadsheets, and office tools).
- Ability to lift and move packages up to 40 lbs.
- Experience in a laboratory, research, or life sciences environment preferred.
- Familiarity with shipping and logistics processes (e.g., major carriers and freight).
- Experience with visitor management or access control systems.
