Position Summary
The Human Resources Recruitment Assistant supports the Talent Acquisition function by coordinating recruitment activities, serving as a point of contact for candidates, and providing administrative and operational support throughout the hiring process. This role focuses on scheduling, communication, applicant tracking, and onboarding coordination, while also assisting the Human Resources team with related administrative duties as needed. The ideal candidate is highly organized, detail-oriented, professional, and adaptable in a fast-paced environment.
Essential Duties & Responsibilities
Recruitment & Candidate Support
- Serve as a primary point of contact for candidates throughout the recruitment process, providing timely and professional communication.
- Coordinate and schedule interviews, job fairs, pre-employment testing, and onboarding appointments.
- Respond to candidate inquiries regarding application status, hiring steps, and general employment requirements.
- Maintain accurate and up-to-date applicant records within the applicant tracking system (ATS).
Administrative & Coordination Support
- Assist with calendar management for recruiters and hiring managers, including interview scheduling and coordination.
- Prepare recruitment-related documentation, correspondence, and interview materials.
- Track recruitment activity, hiring progress, and onboarding milestones.
- Take meeting notes related to recruitment meetings and track action items as assigned.
Onboarding & Pre-Employment Support
- Assist with onboarding logistics, including scheduling orientations, coordinating document completion, and communicating next steps to new hires.
- Support pre-employment processes such as background checks, drug screens, physicals, and license or certification verification, as applicable.
- Ensure onboarding documentation is completed and properly filed in compliance with California and federal requirements.
HR & Cross-Functional Support
- Provide administrative support to the HR team as needed, including assisting with audits, reporting, and special projects.
- Collaborate with payroll, operations, training, and management teams to ensure a smooth transition from candidate to employee.
- Perform other related duties as assigned based on departmental and business needs.
Qualifications
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
- Previous recruitment, HR, or administrative experience preferred.
- Strong verbal and written communication skills.
- High level of professionalism and confidentiality.
- Proficiency in Microsoft Office and Google Workspace; experience with applicant tracking systems preferred.
- Bilingual in Spanish and English preferred (verbal and written).
