On-Boarding Coordinator

The Clinical Onboarding & Orientation Coordinator supports the onboarding and orientation process for new employees joining a leading healthcare organization. This position works closely with department leadership, Human Resources, education teams, and other internal partners to coordinate onboarding activities, schedules, system access, documentation, and new hire communications.

The ideal candidate is highly organized, detail-oriented, comfortable managing multiple priorities, and experienced in administrative coordination, onboarding, HR support, program coordination, or healthcare operations. Healthcare experience is strongly preferred but not required.

• Coordinate new hire onboarding and orientation schedules, including training sessions, department orientations, meetings, and other onboarding activities.

• Track new hires throughout the onboarding process and ensure required documentation and pre-employment requirements are completed on time.

• Communicate with new employees regarding schedules, onboarding requirements, next steps, and general questions.

• Partner with HR, department managers, education teams, IT, and other internal departments to ensure employees are prepared for their start dates.

• Assist with coordinating system access, equipment, training, and other resources needed for new employees.

• Maintain accurate onboarding trackers, spreadsheets, employee records, and status updates.

• Follow up on outstanding onboarding items and escalate delays or issues when necessary.

• Support onboarding for multiple employees at once in a fast-paced, high-volume environment.

• Assist with reporting, data entry, scheduling, and other administrative projects as needed.

• Provide a positive and professional experience for new hires throughout the onboarding process.

• High School Diploma or equivalent required; Bachelor's degree preferred.

• 2 years of experience in administrative support, HR coordination, onboarding, recruiting coordination, program coordination, healthcare administration, or operations.

• Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.

• Strong written and verbal communication skills.

• Proficiency with Microsoft Office, including Outlook, Excel, Word, and Teams.

• Experience working with HRIS, ATS, LMS, Workday, or similar systems is a plus.

• Healthcare, hospital, or medical office experience is preferred but not required.

• Experience supporting employee onboarding, orientation, HR, recruiting, training, or administrative programs.

• Previous experience within a healthcare organization, hospital, medical practice, or other large organization.

• Experience with Workday or similar HR systems.

• Strong attention to detail and ability to maintain accurate records.

• Comfortable communicating with employees, managers, HR teams, and other internal departments.

• Ability to work independently and stay organized in a fast-paced environment.

• Strong customer-service mindset and professional communication skills.
