Patient Intake Coordinator — Medici Orthopaedics & Spine

Medici Orthopaedics & Spine is a physician-led interventional pain management and spine practice serving Metro Atlanta. We provide comprehensive care under one roof — from diagnostic evaluation and physical therapy through interventional procedures, spinal cord stimulation, spine surgery, and hyperbaric oxygen therapy.
We're hiring a Patient Intake Coordinator to be the first voice patients hear when they connect with Medici. You'll manage inbound and outbound communication — phone, email, and text — to schedule new patients, answer their questions about our services, and ensure every referral that comes through our door converts to a booked appointment.
This role sits at the center of our growth engine. You'll work directly with our Physician Liaison to execute scheduling SLAs on incoming referrals, and with our PI & Workers' Comp Liaison to ensure attorney-referred patients are contacted and booked promptly. When a referral comes in, you own the follow-through until that patient is on the schedule.
What you'll do:
Conduct outbound calls and emails to new patient referrals — your goal is to connect with every referral within 24–48 hours and get them scheduled
Handle inbound calls from prospective patients, referring offices, and attorney firms — answer questions about our services, providers, locations, and what to expect at their first visit
Run discovery calls with new patients to understand their needs, insurance situation, and how Medici can help — then match them with the right provider and location
Manage the referral-to-scheduled pipeline in the CRM — track every referral from received to contacted to booked, and flag any that stall
Coordinate with the Physician Liaison on referral follow-up — when a referred patient doesn't respond, escalate and work together to recover the appointment through the referring office
Maintain accurate scheduling records and ensure all referral source attribution is captured at intake
Follow up with no-shows and cancellations to reschedule — every missed appointment is a patient who still needs care
What we're looking for:
Exceptional phone presence — you're warm, professional, and confident on the phone. Patients are often in pain or dealing with a stressful situation, and you make them feel heard
Organized and detail-oriented — you're managing dozens of open referrals at any given time and nothing falls through the cracks
Tech-savvy — you're comfortable learning new software quickly and managing workflows across multiple systems (CRM, EHR, scheduling, call tracking)
Patient-focused — you genuinely care about helping people get the care they need. You follow up because you want to, not because someone told you to
Ambitious and career-driven — this role has a clear growth path into a Physician Liaison position for the right person who demonstrates initiative, relationship skills, and results
Strong written communication — your emails and texts are clear, professional, and reflect well on the practice
Reliable, punctual, and self-accountable
Preferred qualifications:
1–2 years of experience in healthcare, medical office, or patient-facing roles
Familiarity with spine, orthopedic, or pain management care
Experience with HubSpot, EMR/EHR systems (athenahealth is a plus), or healthcare CRM platforms
Bilingual (English/Spanish) is a plus but not required
