Overview

The Government Affairs & Policy Operations Coordinator provides operational, project, and administrative support for government affairs, advocacy, public policy, and political action initiatives. This role coordinates meetings, legislative activities, communications, events, databases, and stakeholder engagement while ensuring projects are executed efficiently throughout the year.

The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment with changing priorities, particularly during legislative sessions.

Duties

  • Coordinate projects, timelines, meetings, and administrative activities supporting government affairs, advocacy, policy, and political action initiatives.
  • Manage calendars, meeting logistics, agendas, materials, minutes, and follow-up action items for internal and external meetings.
  • Coordinate events, advocacy events, fundraisers, and stakeholder meetings, including registration, vendor coordination, logistics, and participant communications.
  • Maintain departmental databases, records, legislative contacts, contribution records, and other operational information while ensuring accuracy and confidentiality.
  • Serve as a primary point of contact for routine inquiries, coordinating responses and directing requests as appropriate.
  • Prepare reports, presentations, correspondence, member communications, and other supporting materials.
  • Assist with required compliance filings, registrations, and administrative reporting.
  • Support legislative and regulatory activities by maintaining legislative tracking systems, monitoring committee agendas, and coordinating schedules and priorities during the Virginia General Assembly session.
  • Coordinate member nominations and appointments to external boards, commissions, advisory groups, and other leadership opportunities, including recruitment, appointment materials, and recordkeeping.
  • Prepare and distribute executive, member, and advocacy communications, including legislative updates, presentations, correspondence, and briefing materials.
  • Coordinate physician engagement in advocacy initiatives, including legislative meetings, testimony, workgroups, and other member engagement activities
  • Identify opportunities to improve processes, organization, and operational efficiency.
  • Perform other related duties as assigned.

Qualifications

Education & Experience

  • Bachelor's degree or equivalent combination of education and experience.
  • Three or more years of experience in project coordination, administrative operations, government affairs, nonprofit organizations, public policy, or a related field preferred.
  • Experience supporting executive leadership, boards, committees, or legislative activities is preferred.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.

Pay: $55,000.00 - $63,000.00 per year

Salary : $55,000 - $63,000
