What are the responsibilities and job description for the Executive Assistant position at Medical Services of America?
Medical Services of America is seeking a Full-time Executive Assistant for our Corporate Office in Lexington, SC.
This position is responsible for providing administrative support and assistance to assigned executives. Other responsibilities include:
- Screens and prioritizes mail and phone calls, and composes memorandums.
- Conducts research, prepares data, and analyzes reports used in managing day to day business activities.
- Completes a broad variety of administrative tasks for the Vice President including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Provides a bridge for smooth communication between the Vice President’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
- Works closely and effectively with the Vice President to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer”, having a sense for the issues taking place in the environment and keeping the Vice President updated.
- Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the Vice President, some of which may have organizational impact.
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the Vice President’s ability to effectively lead the company.
Education, Experience & Qualifications:
- High School Diploma or General Education Degree (GED) required. College degree strongly preferred.
- Minimum of 3 years’ experience providing support at a high level.
- Proficient computer skills and in-depth knowledge of MS Office Suite (Word, Excel, PowerPoint, etc.).
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Very strong interpersonal skills and ability to build relationships with stakeholders, including staff, board members and external partners.
- Expert level written and verbal communication skills.
