The Talent Acquisition Specialist is responsible for driving full-cycle recruitment efforts to support hiring needs across the organization. This role develops effective recruitment strategies, leverages modern sourcing channels, and delivers a positive, professional candidate experience. The Talent Acquisition Specialist plays a key role in bringing top talent into the organization while supporting overall HR operations.

Responsibilities and Duties:

  • Develop and implement strategic initiatives for recruiting diverse, high-quality talent across a multi-site organization.
  • Partner with hiring managers to forecast staffing needs and develop proactive talent acquisition plans.
  • Assist with the full-cycle recruitment process to meet staffing goals across all levels and business units.
  • Post job openings across appropriate platforms, including job boards, professional networks, and targeted venues.
  • Utilize digital sourcing tools and social/professional networks to attract and identify strong candidates.
  • Continuously explore new sourcing methods to expand outreach and improve talent pipelines.
  • Review applicants to assess qualifications and alignment with job requirements.
  • Conduct prescreen interviews and evaluate candidate fit.
  • Maintain accurate applicant and interview data within the Applicant Tracking System (ATS).
  • Coordinate and schedule hiring manager interviews; support travel or on-site logistics as needed.
  • Assist with reference checks and background screening processes in accordance with compliance standards.
  • Draft and send professional candidate communications, including rejection notifications.
  • Assist in interviewing and selection decisions as needed.
  • Prepare and send offer letters and onboarding materials.
  • Prepare and distribute new employee orientation packages.
  • Conduct New Hire Orientation and support a smooth onboarding experience for new employees.
  • Create and implement strategies to attract passive candidates and strengthen talent pipelines.
  • Build strong partnerships with hiring managers and the executive team to support successful hiring outcomes.
  • Work closely with managers to ensure an efficient and effective recruitment workflow.
  • Assist with tracking and reporting key staffing metrics such as time-to-fill and new-hire engagement insights.
  • Maintain consistent communication with hiring managers and candidates to ensure timely updates and action steps.
  • Assist with maintaining the career opportunities section of Medical Service Company’s website.
  • Maintain employee personnel files in accordance with regulatory and confidentiality standards.
  • Mitigate legal risk by understanding current employment legislation and ensuring compliance throughout hiring processes. Maintain up-to-date job knowledge through ongoing professional development, networking, and industry involvement.
  • Coordinate and facilitate company-wide Meet & Greets and Java w/ Joel sessions for all new hires, ensuring a consistent and engaging onboarding experience.
  • Track, update, and maintain employee certifications and credential renewals within the HRIS to ensure compliance and data accuracy.
  • Coordinate and administer new hire benefits enrollment, providing guidance, resources, and timely support throughout the benefits onboarding process.
  • Track new‑hire review deadlines and remind managers.
  • Perform other HR-related duties as assigned.


Qualifications:

Education: Associate degree, or bachelor’s degree preferred. Equivalent HR experience may be considered.

Experience/Knowledge/Skills/Physical Requirements:

  • 1–2 years of staffing or recruitment experience, with the ability to support hiring across job levels.
  • Experience with HR software systems or Microsoft Office Suite; ATS familiarity preferred.
  • Strong interpersonal, communication, and time-management skills; experience working in team-based environments.
  • Clear understanding of end-to-end recruitment lifecycle and best practices.
  • Demonstrated ability to source candidates through multiple channels and platforms.

Salary : $49,387 - $74,080
